Executive Assistant

Job Summary:

As an Executive Assistant, you will collaborate closely with our executive team to optimize their efficiency by providing essential administrative support, including scheduling and calendar management, coordinating with employees, and liaising with external contacts. You will serve as a key point of communication on behalf of the executives, addressing both informal and administrative topics with internal employees. Additionally, you’ll help ensure that their meeting schedules and work blocks align with their evolving priorities.

What You’ll Do:

Manage executives' day-to-day calendars, scheduling internal and external meetings, conference calls, travel arrangements, and handling expenditures—while identifying opportunities to enhance efficiency and ensure accountability for ongoing projects Serve as the primary point of contact for board members, managing communication and coordinating all logistics for board meetings and related activities Oversee logistics for meetings, events, and special projects that support team and organizational goals Collaborate with the People team and other Executive Assistant to foster a strong team culture by supporting team celebrations, coordinating staff meetings, and assisting with offsite and onsite meetings Draft, edit, and proofread internal and external correspondence on behalf of the executives Manage and reconcile monthly expenses for each executive, ensuring accurate reporting and adherence to budgetary guidelines Assist with personal projects and tasks for the executives as requested

What You’ll Need to Have:

Required:

5+ years of experience in a corporate environment supporting senior-level executives Strong organizational skills with a keen attention to detail and the ability to prioritize tasks effectively Proven ability to handle confidential information with discretion and professionalism Sound decision-making abilities and the capacity to exercise good judgment Excellent written and verbal communication skills Ability to adapt communication style to suit the needs and perspectives of others Strong project management skills, including the ability to manage multiple tasks and deadlines simultaneously Ability to work in a fast-paced environment and adapt to shifting priorities Position based in Los Angeles, requiring in-person presence at the office 3-5 days per week

Preferred:

Bachelor’s degree in business administration, communications, hospitality, public relations, or a related field preferred Experience coordinating executive-level travel arrangements, both domestic and international Proficiency in G Suite (Gmail, Google Calendar, Google Meet, etc.), Slack, and other collaboration tools Experience with corporate event planning and logistics Familiarity with office management software (e.g., Microsoft Office Suite, Zoom, etc.) Knowledge of basic financial tasks, such as expense reporting or budget management on behalf of executives

Compensation:

$85,000 - $95,000 per year base salary An annual bonus percentage that varies based on level of role Employer matching (up to 3% of base salary) for company sponsored 401K plan
