Provides quality administrative support in a timely and efficient manner to the Senior Vice President and Chief Marketing Officer, enabling the Vice President to concentrate on strategic goals and operational objectives for the Company and its sales force. Works with minimal supervision and is responsible for making an established range of decisions, escalating to Manager when necessary and updating Manager on a regular basis.
ResponsibilitiesWhat you will do:
Provides accurate, professional and timely administrative support to the Senior Vice President and Chief Marketing Officer.Appropriately handles special direct mailings for field officer territories.Accurately assembles recruiting material for mailing to prospective General Agents.Compiles, formats and distributes accurate reports containing agency information and statistics.Coordinates and arranges meetings and travel schedules for the Senior Vice President and Chief Marketing Officer and Distribution Vice Presidents, Regional Marketing Directors and other associates as required.Handles registration and travel arrangements for Home Office associates attending LIMRA Agency Management Conference.Provides backup support for other Administrative Support Coordinators, Licensing and Contracting Administration Specialist and the President's Executive Assistant for vacation, sick days or other requests.Performs other duties as assigned.Complies with all policies and standards. Qualifications High School Diploma Or GED - RequiredProven extensive experience serving as an administrative assistant or executive secretary to senior-level management. Experience must include supporting multiple principles where independent decision-making and initiative were demonstrated. - RequiredProven experience coordinating multiple projects/assignments simultaneously, and completing tasks accurately and on a timely basis. Must demonstrate strong attention to detail with excellent organizational skills. Expected to cite examples of organization and time management methods used to manage or prioritize workload demands. - RequiredProven experience handling administrative duties independently with the authority to act on behalf of Managers including prioritizing assignments, scheduling and canceling appointments, coordinating travel arrangements, responding to routine correspondence and requests, and proactively proving desired information to various department personnel. - RequiredDemonstrated experience working and communicating cooperatively and effectively within a team environment. Must cite examples of going beyond to assist team members in work situations. - RequiredProven experience adapting and demonstrating flexibility associated with changes to policies/procedures. Must provide examples demonstrating flexibility to meet department and customer needs in work situations. - RequiredProven experience handling confidential information and correspondence with the ability to keep a high level of confidentiality and demonstrate discretion in all personnel related matters. - RequiredDemonstrated experience maintaining a calm and professional demeanor at all times, exercising excellent judgment and maintaining a positive perspective in all situations. - RequiredDemonstrated strong verbal and written communication skills with ability to convey information to internal and external customers in a clear, accurate, focused and concise manner. Demonstrated ability to document procedures and activities in a manner that is understandable to others and prepared using a prescribed format. Proven proficient proofreading and editing skills, demonstrating a strong use of the English language to include exemplary knowledge, in verbal and written format, of the elements of grammar, punctuation, diction and spelling proficiency. - RequiredDemonstrated strong work ethic, and proven examples of experience working in an environment with a high degree of stress/time demands associated with heavy volumes and multiple demands. - RequiredProven proficiency in preparing reports, compiling statistics and researching information. - RequiredDemonstrated high level of initiative and proven ability to work independently with limited supervision. - RequiredProven proficient keyboarding skills with minimal errors and strong demonstrated mathematical aptitude to include decimals, fractions and percentages. - RequiredProficient in word processing, spreadsheet applications and presentation software. - RequiredWorking knowledge of database applications. - RequiredProficient with software packages including Word, Excel, PowerPoint and Access. Continually upgrades software skills. - RequiredWork Setting/Position Demands:
Works in an office setting and remains in a stationary position for long periods of time while working at a desk, on a computer or with other standard office equipment, or while in meetings.Requires the ability to verbally communicate and exchange accurate information to customers and associates on a regular basis.Requires visual acuity to read and interpret a variety of correspondence, procedures, reports and forms via paper and electronic documents, visual inspection involving small defects; small parts, and/or operation of machinery (including inspection); using measurement devices continuously. Visual acuity is required to determine accuracy, neatness, and thoroughness of work assigned.Requires the ability to prepare written correspondence, reports and forms using prescribed formats and conforming to rules of punctuation, grammar, diction, and style on a regular basis.Requires the ability to apply principles of logical thinking to define problems, collect data, establish facts, and draw valid conclusionsPerforms substantial movement of wrists, hands, and fingers for continuous computer work.Extended hours required during peak workloads or special projects/events.Travel Requirements:
