The Executive Assistant & Admin Team Lead supports the President & Site Head of the Fremont site in leading and managing the site, including support on initiatives and projects with full accountability for the coordination, planning and executing subtasks. This includes US country responsibilities interacting with US headquarters in Ridgefield as well as global tasks in alignment with HP Biopharma headquarters in Ingelheim. This role is also responsible for leading the team of Business Support Coordinators for the site. **Duties & Responsibilities** + Operates as Functional Lead of Business Support Coordinators, focusing on streamlining work and improving efficiency of the administrative support of the site. + Responsible for allocating resources to support the site. + Applies an advanced level of expertise to a wide range of interdepartmental responsibilities, requirements, processes, and procedures while managing the overall functioning of the team. + Communicates and sets job expectations, provides regular feedback, identifies performance challenges, creates action plans, and monitors the effectiveness of those action plans. + Supports and facilitates integration of administrative colleagues into local/regional/global networks. + Acts as delegate for other administrative roles as necessary. + Develops and implements process improvements that will ensure consistency and alignment across teams and compliance with external and internal standards. + Identifies best practices and executes action plans to achieve integration and alignment. + Performs all Company business in accordance with all regulations and Company policy and procedures. + Demonstrates high ethical and professional standards with all business contacts and employees to maintain the Company’s excellent reputation within the pharmaceutical community. Direct support for President & Site Head + Coordinates global, US and site meetings chaired by the Site Head, including managing agenda, pre-reads, and follow-ups. + Handles confidential issues on a regular basis and maintains the confidentiality of executive decisions and information. + Manages calendar and travel arrangements for the Site Head including the preparation and submission of expense reports. + Prepares and reviews presentations and supports site communication. Site Management Support + Assures a closely coordinated program of activities based on common objectives focusing on resource allocation, training, and process efficiencies in meeting department KPIs. + Partners with site leadership to set/manage expectations admin team by gathering feedback and identifying and resolving operational challenges. + Responsible for the seamless orchestration, preparation, and execution of coordinating in-house meetings, workshops and events with internal participants and external stakeholders contributing to the site reputation and success within various networks. + Administration of site management tasks including data entry, correspondence, and reporting + Fosters partnerships and relationships, ensuring full integration in the matrix organization with US and global networks. + Ensures processes follow corporate guidelines and SOPs (e.g. branding requirements, travel guidelines etc.) **Requirements** + Bachelor’s Degree preferably around Business Administration or similar with minimum of five (5) years’ experience. OR + Diploma Degree/Professional Training with seven (7) years’ experience in an administrative or customer service environment required. + Experience in administrative support role relevant to job function. + Must have adequate knowledge of administrative support requirements necessary to provide the depth and breadth to lead a team. + Previous leadership/management experience preferred. + High level of demonstrated integrity and confidentiality. + Ability to maintain a high level of professionalism and work with internal and external contacts. + Ability to operate effectively in a global matrix organization with multiple reporting relationships. + Excellent written and verbal communication skills and the ability to be clear and concise in a variety of communication settings. Ability to interface with all levels of the organization including senior/executive leadership teams. + Proven leadership skills – effective decision making, proactively identifying, and solving problems related to improving efficiencies. + Proven organizational skills and demonstrated ability to multi-task. + Excellent time management skills with the ability to work well under pressure. + Knowledge of current industry standards and trends. **Eligibility Requirements** : + Must be legally authorized to work in the United States without restriction. + Must be willing to take a drug test and post-offer physical (if required). + Must be 18 years of age or older. **Compensation Data** This position offers a base salary typically between (75,000) and (122,000).  There is opportunity to consider higher compensation above this range based on business need, candidate experience and or skills.  The position may be eligible for a role specific variable or performance based bonus and or other compensation elements.  For an overview of our benefits please click here.
