We are seeking an experienced and highly adaptable Executive Assistant to support our Baird Capital Team. This role goes beyond traditional administrative support as it requires someone who thrives in a fast-paced, high-stakes environment, especially when deals are in motion. From managing complex calendars, coordinating travel, and handling expenses to liaising with legal and compliance on sensitive information, maintaining CRM data, and assisting with marketing events, this position is integral to the team’s efficiency and success. The ideal candidate is a proactive problem-solver, adept at prioritizing shifting demands, and excited to take on responsibilities that blend executive support with marketing and operational coordination. As an Executive Assistant, you will:

Managing complex multi-time-zone diaries and coordinating meetings.

Handling daily correspondence and email management.

Arranging UK and overseas travel with detailed itineraries.

Processing expenses promptly.

Acting as a point of contact for deal-related administration, including Salesforce updates and report tailoring.

Organizing and managing events such as client lunches and marketing activities.

Coordinating Board papers and preparing presentations and supporting with research.

Assisting with new employee onboarding and supporting visiting colleagues.

Encouraging team collaboration and optimizing information sharing.

Developing templates for consistent documentation.

Maintaining stationary supplies and general administration tasks while promoting transparent communication.

Contributing to team success through proactive performance and judgment.

What we look for:

Key Qualifications:

Strong IT skills, fluent in major office applications (Outlook, Word, PowerPoint, Excel)

Experience with Salesforce and SharePoint is a plus

Ability to multi-task under pressure with drive and energy

Excellent client service and teamwork skills

Strong organizational, administrative, and attention-to-detail abilities

Effective written and oral communication skills, capable of managing up and down

Assertive decision-maker with initiative and proactivity

Commitment to continuous learning and professional development

Experience:

5+ years in Financial Services or similar fast-paced environments

Professional demeanor with strong communication skills

Proficient in Microsoft Office, especially PowerPoint

Experience in travel coordination and expense reconciliation

Familiarity with CRM systems, preferably Salesforce
