The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be well-organised, proactive and enjoy the challenges of supporting a diverse staff of 120+ people. The ability to interact effectively and build solid relationships with staff (at all levels) in a fast paced environment, sometimes under pressure, is essential. Must be flexible, resourceful and efficient. A high level of professionalism and confidentiality/discretion is key to this role. Excellent written and verbal communication skills, strong decision making ability and attention to detail are crucial. DescriptionDescription“Chief of Staff” duties for the Head of Sales Finance, EMEIA: acting as proxy on day to day communications on behalf of the Senior Director with internal teams and external contacts. Coordinating complex schedules to ensure syndication with business heads across Apple. With responsibility for: - Complex diary management for the Head of Sales Finance across multiple time zones. - Provide adhoc calendar and overflow support to the Senior Leadership Team as needed. - Adhoc support to a team 120 people in Battersea and to our EMEIA team of 30 people in our 3 hub regions in Munich, Dubai and India. - Coordinate all international and domestic travel and visa applications for the Senior Leadership Team, provide proactive counsel around time and cost efficiency. - Schedule, manage agendas and attend key leadership meetings with absolute discretion and keep abreast of follow up actions. - Project manage quarterly Town Hall meetings, offsites and leadership team meetings. Maintain strong relationships with IS&T and Facilities teams to bring events to life. - Produce and circulate organisation wide comms including announcements, newsletters, event invitations, and generic comms as necessary. - Assist with adhoc documents such as agendas, Keynote presentations and itineraries. - Handle and maintain highly confidential and sensitive information. - Support new hire onboarding. - Raise Expense Reports, maintain and order the Apple Own Use (AOU) equipment supply for Battersea based Sales Finance employees. - Send Composer emails advertising internal job opportunities and maintain the database following the chains of movement for annual reporting. - Conduct research and manage ad hoc projects as required. - Organise national and international bi-annual conferences for the Leadership Team and Controller community, provide onsite support throughout. - Organise creative team building/networking/social events for the organisation and sole ownership of the Summer and Winter Party.
