Job Summary:
Ethos Veterinary Health is seeking an Executive Assistant to support our President and leadership team. This role is essential and highly visible as you will spend time collaborating with different departments/individuals across the company. Must be a team player with an enthusiastic attitude and a strong service orientation. Professional, self-motivated, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment.
*This is a hybrid role based out of Austin, Texas.*
Responsibilities:
Acts as point of contact between the executive and internal/external clients in a professional mannerManage complex calendars, scheduling and heavy email workloads of support teams and projects across multiple locationsSchedule candidates for executive and leadership positions; this duty has a very critical timing factor. Hosts candidates through the interview process, ensuring a positive interview experience.Prepare internal and external documents and presentations (including researching, when appropriate) using templates and brand guidelines in MS Word, PowerPoint, and other toolsPrepare drafts of internal communication to employeesProcess expense reimbursements and select vendor invoicesOrganize meetings on and offsite (including hotel rooms, conference rooms, AV equip, catering, set-up and post meeting cleaning across the Support Center);Help broader administrative team with company eventsHandles complex and frequently changing, travel arrangementsSkills & Qualifications:Proficient in Microsoft Suite of products (cloud-based Office365): Outlook, Word, Excel and PowerPoint; as well as tech savvy, ability to learn new technologies and applicationsProficient with virtual work tools such as Zoom and Microsoft TeamsService orientated Ability to gain a thorough understanding of client needs, repeatedly delivers on commitments and is aware of broader perspectives to make suggestions Ability to identify problems and opportunities and shows good judgement when to make decisions in the handling of issues based on established guidelines or when to seek assistance; including those that involve sensitive and confidential information; sound judgmentDemonstrates resourcefulness to develop solutions and alternatives in time-sensitive and high-pressure situations to adapt and adjust coverage as neededAbility to be proactive, self-motivated and anticipate needs Positive and professional communicatorAbility to connect with staff (at all levels) to build credibility, trust and respect while working to accomplish goalsAbility to handle office communication efficiently and effectively to a variety of different audiences with strong verbal, written and interpersonal skills; goal orientedAbility to complete a task ensuring information is complete and accurate; following up with others to ensure that commitments have been fulfilled and detailed records are kept; seeks out information to maintain or even streamline processesStrong attention to detail and time managementExceptional planning, organization and time management skills; able to set priorities, manage details and accurately follow through to meet all deadlines Ability to prioritize multiple tasks, meet deadlines, manage competing demands and change course of action quickly in a fast-paced environment
Education and Experience:
