Your Impact

The primary purpose of this role is to enable the effectiveness and productivity of the EVP in a leading Fortune 500 company by managing complex operations, handling critical and sensitive enterprise-wide communication, and providing high-level administrative and logistical support with urgency, flexibility, and care. We are seeking a highly organized, detail-oriented, and proactive Executive Assistant who can manage a wide range of tasks with confidentiality and professionalism. This dynamic individual will play a critical role in optimizing the EVP's time, managing day-to-day operations, and ensuring alignment across key business initiatives and stakeholders, serving as an effective point of contact for internal and external partners.

What you will do

Provide comprehensive administrative support to the EVP, including managing calendars, scheduling meetings, coordinating travel, and preparing itineraries, while acting as a gatekeeper to optimize their time. Maintain key relationships with internal and external stakeholders, ensuring alignment with the company’s strategic priorities and values. Additionally, assist in coordinating and executing strategic initiatives by tracking deliverables, maintaining timelines, and collaborating with cross-functional teams to ensure projects stay on schedule and meet objectives.Efficiently schedule and manage a variety of internal and external meetings and events, including leadership team gatherings, cross-functional sessions, and executive-level conferences. Ensure the EVP is fully prepared with agendas, briefing materials, and other necessary documents. Oversee all logistics for executive off-sites, board meetings, and company events, delivering a seamless and well-organized experience. Arrange complex travel plans and itineraries, ensuring all relevant documents are prepared for travel-related meetings, while skillfully handling any last-minute changes.Act as the primary point of contact for the EVP, managing all communications with professionalism and utmost discretion. Prepare, draft, edit, and proofread internal and external correspondence, presentations, and reports on their behalf. Safeguard sensitive information with the highest level of confidentiality, exercising sound judgment when handling complex and confidential matters related to corporate strategy, personnel decisions, and data-driven initiatives.Oversee day-to-day office operations, including managing executive expenses, organizing files and documents, and ensuring a professional environment for the leadership team.Proactively solve problems for leaders and provide necessary information to move forward quickly and efficiently.Individual Contributor

Required Qualifications

High School or GED and 7 Years Experience working in an administrative function supporting Sr. or Executive level leaders.Strong organizational and planning skills with the ability to work in a fast-paced environment.Excellent time management skills, proven ability to multitask and prioritize one’s own work.Excellent written and verbal communication skills.High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms (Microsoft Teams, Zoom).Demonstrated ability to work with minimal oversight.Customer service oriented and demonstrated professionalism.Ability to maintain confidential information with unquestionable discretion.Demonstrate active listening skills (adaptable, proactive) and decision making.

Preferred Qualifications

Bachelor's degree or equivalent work experience preferred.Experience as an Executive Assistant supporting C-suite or senior executives, ideally within a large-scale organization.Familiarity with technology and data-driven environments is a plus.

Work Environment
