The Department

FRM’s Administrative and Executive Assistance team ensures seamless operations and effective communication across all levels. This team is integral in maintaining the practice's efficiency by managing essential administrative functions, coordinating internal and external communications, and supporting leadership. Their role is pivotal in fostering a professional and organized work environment, which is crucial for the practice's success and client satisfaction.

Role

As Executive Assistant to the most senior leaders in FRM, you are aligned to certain executives, and others within their teams, to support their efficiency and effectiveness in their roles. This is a role that requires considerable initiative, organization and attention to detail working in a client-centric professional services environment. You are a valued member of the team. 

Your Responsibilities:

Exercise appropriate discretion to handle sensitive and confidential information  Manage calendars for aligned leaders, resolving schedule conflicts proactively  Manage email inboxes and ensure appropriate and timely follow up  Send certain communications on behalf of your aligned executive leaders, as directed Communicate with your aligned executive leader during the work-day and adjust plans as may be needed in a fluid and dynamic work environment Schedule and help to host events for external clients including presentation materials, AV needs, room setup, catering, agendas, minutes, etc., as needed. These meetings may be in-person, hybrid, or virtual  Schedule internal meetings or events, and provide the same support as listed for client meetings  Make domestic and international travel arrangements  Prepare expense and hours reports and ensure timely submission  Maintain accurate files  Take accurate notes in meetings, as needed  Assist in directing inquiries to the right resource to address the need (within and outside of department)  Assist with developing and reviewing/editing/formatting reports and presentations  Helping to provide coverage for other administrative professionals during their PTO (they will provide the same support to you)  Assist in scheduling visitors to the office including job candidates, clients and other guests  Light mail, fax and package management  Coordinate practice meals and stock office snacks Assist with special projects, as needed  Provide partnership support to other departments, as occasionally needed 

Job Knowledge, Experience Skills

Job Knowledge Required

Expert level of experience as a Senior Administrative Assistant or Executive Assistant  Experience in a professional services, financial services or insurance organization Excellent written and verbal communication skills  Highly competent at making travel arrangements  Resilient and able to work with tight deadlines, which requires flexibility and diligence  Expert skills in utilizing the Microsoft Office Suite (Word, PowerPoint, Excel)  Solid experience using expense reporting (Concur) and timesheet reporting systems  Able to display confidence in speaking on behalf of aligned leaders. 

Experience and Soft Skills Required

A college degree is not required, but it would be considered a plus  Technically savvy and interested in leveraging technology to gain efficiency in communication and process  Detail oriented and rigorous about follow up  Excellent time management skills to ensure productive work hours and work/life balance  Ability to work in a fast-paced environment where the client is always our first priority, and our colleagues a close second  Proven record of reliability and dedication to high quality work  Sharp critical thinking skills, sound judgment, and decision-making ability  Both the ability and willingness to clearly articulate your ideas  Ability to work both collaboratively and independently

Location

Candidates hired into this role will be required to work in-person in the Milliman office in Chicago, IL on a weekly basis, but flexible work arrangements will be considered.

Compensation

The salary range for this role is $94,000- $147,000, depending on a combination of factors, including, but not limited to, education, relevant work experience, qualifications, skills, certifications, location, etc.
