You'll have the opportunity to understand their working style and provide tailored support, making a real impact on their success. + You'll be exposed to various aspects of the company, from managing complex travel arrangements to participating in team meetings. + By working closely with executives, you'll gain valuable exposure to the company's operations and strategy. You will also develop working relationships with other assistants, executive leaders, and operations partners. **What you'll do…** + You'll be the point person for the executive's calendar, proactively resolving scheduling conflicts and keeping them informed of updates. You'll also manage their email and physical mail, curating important information and ensuring everything is organized and aligned with company record retention policies. + From booking flights and accommodations to navigating complex itineraries and managing changes, you'll handle all aspects of the executive's travel. You'll also be responsible for preparing timely and accurate expense reports. + You'll play a key role in ensuring meetings run smoothly, from preparing and distributing materials to coordinating technology and logistics for both in-person and virtual attendees. This includes staff meetings, all-hands meetings, off-sites, and team gatherings. + You'll contribute to the creation and upkeep of reports, presentations, and budgets, ensuring accuracy, proper formatting, and efficient organization of materials. + You'll participate as a member of the executive's leadership team, attending select meetings, taking detailed notes, tracking assignments, and following up on action items. You'll also assist with special projects as needed, contributing to their successful completion. **You'll have...** + High school diploma or GED + 3+ years of experience as an executive assistant or project manager + 3+ years of Microsoft software experience (e.g., Outlook, SharePoint, OneDrive, PowerPoint, Word, Excel, and other related programs) + Prior experience as a C Suite Executive Assistant **Even better, you may have...** + Bachelor's degree or professional associate’s degree. + Excellent writing, editing, and proofreading skills. + Learns new software systems and products/cloud tools with ease. + Responsive, self-starter; takes initiative in resolving issues or concerns. + Detail-oriented, organized, and excellent time management skills. + Displays a high degree of integrity and maintains confidentiality of sensitive information. + Works well independently with minimal supervision. + Ability to work collegially and collaboratively within a team environment in an open-concept office area. + Comfortable interacting with all levels of the organization, from executive leadership to individual contributors. + Ability to plan, prioritize, and support multiple assignments simultaneously. + Willingness and flexibility to support across all North America time zones.
