Executive Assistant

Provides assistance to managers and directors in administrative tasks, ensuring mail distribution, calls and services to the executives. Organizes and sets up trip expenses.

 

Main Responsibilities:

Organize and maintain the full agenda for the Tenaris USA President.

Book and manage all commercial and private travel, including private flights (jets, helicopters for rig visits).

Request quotes and coordinate private trips for executives, both local and out-of-state.

Ensure flexibility with travel across different time zones, international locations, and varying travel policies (private aviation, commercial, etc.).

Manage and track travel expenses through Concur and P-card for the President and other executives. 

Coordinate and support executive events such as luncheons, meetings, and tech events with executives from each country.

Collaborate with IT and the communications team to organize meetings.

Assist board members and the first line with meeting coordination, schedules, travel, and communication.

Serve as the main point of contact for the President’s first line, ensuring smooth communication and collaboration.

Maintain a high level of confidentiality when handling sensitive documents.

Oversee the functionality and readiness of the office and facilities for executives.

Plan and coordinate lunches, breakfasts, and breaks for the President and other executives in and out of the office

 

Requirements:

Experience & Skills:

At least 7 years of experience in an executive assistant or similar role, with a focus on high-level support and flexibility.

Strong experience with private and commercial travel management.

Proficiency in managing complex schedules and understanding executive priorities.

Strong organizational and time-management skills.

Ability to prioritize and manage high-level, confidential tasks efficiently.

Technical Skills:

Proficient in SAP, Outlook, Concur, MS Office, and Exiros.

Languages:

Fluent in both Spanish and English.

Soft Skills:

High level of professionalism, flexibility, and discretion.

Strong communication skills to manage interactions with executives and board members.

Work Environment & Personal Qualities:

Comfortable working in a fast-paced environment and able to handle last-minute changes and requests.

A mature, proactive, and solutions-oriented individual who can work independently and prioritize tasks.
