As an Executive Assistant, you'll provide a range of administrative and general workplace support for our senior leaders of TD. The Executive Assistant will join the TDAM Regulatory & Policy Governance (RPG) team within the TD Asset Management (TDAM) business and will support members of RPG and the executives of TDAM Trading and TDAM Overlay Services.

Make an Impact:
Own and maintain calendar management for multiple leaders (Managing Directors) and troubleshoot conflicts with creative solutions
Coordinate travel for leaders, including supporting travel delay re-scheduling for national and international travel arrangements, arrange transportation to/from airport and the travel destination in addition to rescheduling meetings with internal/external parties
Process expenses for teams and ensure timely completion, check to make sure payment has been made by the due date
Manage technology and real estate needs of the teams including ordering equipment, facilitating access approval requests
Facilitate with the onboarding and offboarding of employees
Act in secretarial role for various committees including working with the Committee Chair on the Agenda, booking the meetings, collecting meeting materials, distributing materials and taking meeting minutes
Assist in coordinating in-office or virtual meetings, townhalls or offsite events; may include booking meeting spaces, agenda development, technology setup, amalgamating/proofreading PowerPoint decks, event day troubleshooting and ordering catering with dietary restrictions
Consistently exercise discretion in managing correspondence, information, and all matters of confidentiality; raise issues where appropriate
Apply appropriate due diligence ensuring accuracy in completing ad-hoc administrative tasks (e.g., reports, invoices, communications, files)
Inform immediate team regularly on project status, as well as relevant information related to day-to-day activities
Prioritize and manage own workflow to ensure quality and efficiency (ie. meet deadlines; be flexible in adjusting to changing work priorities)
Support the team by continuously developing knowledge in own area and taking initiative to identify and recommend improvements in own job function
Provide back-up support for the Executive Assistant for the Managing Director, Business Governance & Portfolio Oversight
Experience Growth:
Provide training to new Administrative Assistants/Executive Assistants and be a Subject Matter Expert for common tasks performed
Work with complete autonomy alongside leader; may partner with other leaders to finish unique tasks

High school diploma with over 5 years of relevant experience
Extensive knowledge of Microsoft Office Suite and internet applications (Outlook, PowerPoint, Word, etc.)
Ability to work independently as well as part of a team with flexibility to coordinate processes and information across related teams
Ability to collaborate with other Executive Assistants/Administrative Assistants, in addition to internal and external partners
Ability to think strategically and multi-task while able to meet conflicting deadlines
Experience coordinating travel arrangements and comfortable managing frequent changes
Strong organizational skillset to manage accountabilities, while simultaneously managing leaders' administrative requirements
Excellent communication skills with the ability to listen actively, ask questions and communicate effectively
Can efficiently interpret TD policies and help executives apply these standards in a fast-changing environment
Strong judgment skills to support initiatives and apply discretion when working with confidential information
