Executive Assistant II

The Executive Assistant provides a range of administrative support directly to two Finance Executives, and generally to their department(s), including but not limited to coordinating and managing calendars, expense reports, travel itineraries, special projects (as assigned), and inquiries/requests. The ideal candidate demonstrates a high level of attention to detail, is resourceful, flexible, and organized, with the ability to work well under pressure in a periodically intense environment with competing deadlines. The ideal candidate also possesses an executive presence, relationship-oriented with strong social skills / cordial personality, as this person will interact with Key’s Executive Leadership Team and their staffs, including the Office of the CEO, and with external analysts and investors.

The ideal candidate is also self-motivated, with the ability to work both independently and as a team player.

Essential Job Functions:  

Performs administrative duties for Key’s Chief Strategy Officer as well as Head of Investor Relations, including but not limited to efficiently managing calendars and coordinating all aspects of meetings, travel itineraries, and receptionsIdentifies and manages important reporting schedules and meeting due dates by creating and maintaining a master calendar. Maintains an extensive tracking and follow-up system, including reminders of deadlines, and follows-up to ensure all requests and inquiries receive a timely and appropriate responseCoordinates travel arrangements; prepares schedules for travel, including for investor-related trips made by Key’s Executive Leadership Team, including the CEO and CFO. Will work closely with Executive Leadership offices, and with Key’s corporate aviation department.Prepares, reconciles, and tracks expense reports, and ensures valid third party vendor invoices are paid in a timely fashionAssists with coordination of special projects and departmental continuous improvement efforts, as assignedSupports all aspects of onboarding/off boarding staff/contractorsServes as executive delegate, as appropriate (e.g., timecards, system access, Workday, etc.)  May reply to correspondence on behalf of the executive or route the correspondence to the appropriate party for handlingInteracts with other senior leaders of the company and external investors and analysts, and potentially with regulatorsPlans and executes logistics for team meetingsProvides technical support and/or acts as liaison with technical teamOrders supplies and processes invoicesProvides accurate and prompt internal and external ‘customer’/stakeholder service

Required Qualifications: 

Minimum of high school diplomaMinimum of three (3) years of experience in working with executivesHigh level of proficiency in latest technology including Microsoft Word, Excel, PowerPoint, Outlook, Teams and ZoomExcellent attention to detail and accuracy in work; strong organizational and time management abilitiesExcellent written, verbal, and interpersonal communication skills; ability to interact, communicate and collaborate with all levels of management and employees, including with Executive Leadership, as well as with external investors and analystsAbility to work in a team environment, including assisting other support staff with coverage, operations, and special projectsProject management and analytical skillsMaintains an awareness of priorities and is flexible to adapt to changesProactive, initiative-taking nature
