Executive Assistant II

Ecolab is seeking an experienced, professional and dynamic Executive Assistant to provide support to the EVP of Corporate Development and team as well as support for an SVP Finance. This role requires a highly organized and proactive individual who can handle confidential information with discretion.


This position is based out of our Corporate Headquarters office in St. Paul, Minnesota with a hybrid work environment.
 

What You Will Do:

Manage and maintain executives’ schedules and appointments of the EVP and other members of the Corporate and Business development team as needed, including coordination of earnings conference calls, live meetings and virtual meetingsSchedule critical meetings and provide coordination support. Execute team meetings with multiple participants. Navigate skillfully through virtual meeting management toolsPrepare drafts of correspondence, agendas, presentations, reports and other documents in response to verbal and/or written instructions, to a high degree of accuracy and quality in a timely mannerHandle financial administrative tasks related to processing departmental invoices to
Accounts Payable, corporate card expenses and reporting, etc. Be familiar with OnBase to
track payment.Coordinate and manage domestic and international travel arrangements including logistics, agendas, developing complete and comprehensive itineraries, booking flights and accommodation, and arranging meetings and visitsProduce high quality reports, presentations and other documents in Microsoft Word, PowerPoint and ExcelOrganize department’s shared drive, handle file maintenance and retention, and provide
record keeping supportPrioritize and organize multiple, sometimes competing requests for time and attention, and
successfully navigate through to execution high quality, timely deliverables.Assist with office support elements including: office supply orders, facility/maintenance
requests, onboarding logistics of new staff and workspace movement of current associates,
including hardware, technology, access, etc. and separation logistics.Complete company research as requested by using CAPIQ and internet searches.Receive and interact with incoming visitors, including external partners and investorsLiaise with internal associates at all levelsMake independent decisions regarding planning, organizing, and scheduling priorities for self and executivesManage projects as requested

Minimum Qualifications:

High School Diploma or equivalent5 years of executive assistant experience2 years of experience working for a Fortune 500 companyFull comprehension of calendar management systems and proceduresExcellent knowledge of MS Office, specifically Excel, PowerPoint, and Word55 WPMDiscretion with personal and company confidential informationNo immigration sponsorship available for this position

Preferred Qualifications:

Bachelor’s Degree in business administration or related field3 years of corporate experience in companies with more than 10,000 employeesStrong verbal and written communication skills and executive presenceExemplary planning, prioritization and time management skillsCritical thinking, analytical and problem-solving skillsExcellent grammar, punctuation and spellingStrong customer focus and approachabilityAdaptability and flexibility, with a willingness to collaborate in a team environment

Annual or Hourly Compensation Range

The pay range for this position is $104,900.00 - $157,300.00. Many factors are taken into consideration when determining compensation, such as experience, education, training, geography, etc. We comply with all minimum wage and overtime laws.
