This role is classified as Hybrid under our SSC Workplace Policy (see SSC Workplace Program youlu page for an overview): Hybrid Work is performed onsite at least 3 days per week. There may be times when you are needed to be in office more than 3 days a week due to business needs. Applicants must be located in, or willing to relocate to, the specified work location.
A day in the life
Based in your SSC hub, in the hybrid workplace program, you are the connector between senior leadership and departmental team needs. Principal scheduler, timekeeper, planner, and coordinator to a member of the lululemon Executive Team, the Executive Assistant has a vital role in the success of their department.
Tasks in this role include (but are not limited to):
Display great business acumen and maturity in role.Daily collaboration and communications with the EA team.
Coordinates Executive’s calendar and contacts and according to allowed authority manages Executives email; prioritizing time-sensitive emails and email file management.Coordinates and sends meeting invitations and agendas to attendees, books meeting rooms and arranges for IT resources and refreshments in support of efficient meeting facilitation.Establishes work priorities and directs assignment of work to various department staff according to scope of allowed authority.Acts as a communications liaison with Department as required.Prepares briefing notes and minutes of meetings, as required.Provides Executives with documentation needed for meetings and correspondence with the business.Delegates and follows up on action items that fall within realm of responsibility.Maintains confidential information for the business, team and leadership and ensures information is handled appropriately.Coordinates C-Suite level travel, complex multi-leg travel, often requiring continuous changes and rescheduling, in conjunction with team of Executive Assistants and according to most Senior Executive travel plan.Responsible for accurate and timely financial management including: Executive expenses, raising purchase orders, paying invoices in accordance with payment terms, approval of department expenses, including the review of employee expense claims for accuracy and adherence to policy on behalf of Executive.Supports space planning needs for department growth.Special Projects as assigned by ExecutiveIn partnership with P&C, owns and oversees onboarding of incoming Senior Executives and new members of their Leadership Team
Qualifications:
7+ years’ experience or equivalent in an administrative and or executive support level capacity with increasing responsibilities.Flexibility and ability to support more than one Executive Portfolio at a time, dependent on business shifts and needs. Ability to be in office more than 3 days a week dependent on business needs. lululemon’s compensation offerings are grounded in a pay-for-performance philosophy that recognizes exceptional individual and team performance. The typical hiring range for this position is from $66,000-$86,600 annually; the base pay offered is based on market location and may vary depending on job-related knowledge, skills, experience, and internal equity. As part of our total rewards offering, permanent employees in this position may be eligible for our competitive annual bonus program, subject to program eligibility requirements.
