Executive Assistant III

  

 

This position will be responsible for providing administrative support for the VP, Awards for Paramount Pictures. 

 

 

Responsibilities to include, but not limited to:
•    Manage the Executive’s calendar and schedules. 
•    Organizes meetings and ensures timely arrival and attendance to all meetings and events.  
•    Screens and responds to incoming calls and correspondences.
•    Greets scheduled visitors and conducts to appropriate area or person. 
•    Performs internal and external distribution of Agreements and correspondences.
•    Answers phones, schedules appointments/confirms meetings/maintains daily schedules, photocopies material, facsimile/e-mail distributes and routes incoming and outgoing mail that may include large distribution lists.
•    Composes and generates letters and memos; back-ups proof reading and editing on documents prepared by manager and others.
•    Generates expense reports.
•    Maintains legal agreements with internal department and system setup.
•    Finance duties include PO entering, budget tracking, vendor processing, and managing partner payment.
•    Liaises with internal departments and external entities as needed.
•    Creates and maintains files.
•    Contract tracking and PowerPoint presentations.
•    Arranges travel.

•    Work with distribution department to book theaters, screening rooms, and ordering DCPs and prints

 

QUALIFICATIONS/SKILLS

Basic qualifications:
•    Bachelor's degree.
•    1-2+ years of experience in an administrative support role.

 

 

Desired skills:
•    Administrative experience supporting a high-level executive, preferably in entertainment
•    Excellent written, verbal, and interpersonal skills with the ability to interface with staff, internal and external contacts and senior management
•    Ability to be adept at multi-tasking, prioritizing, and managing projects in a fast-paced environment
•    Ability to handle confidential materials and demonstrated professional maturity
•    Proficiency with Word, Excel, Outlook, PowerPoint and internet software
•    Entertainment industry knowledge
•    Strong organizational skills, with ability to attend to details while maintaining a big picture orientation
•    Ability to handle a wide variety of tasks with little or no supervision
•    Good attention to detail and follow-through skills
•    Demonstrate good judgment and ability to deal with confidential and sensitive issues

ADDITIONAL INFORMATION

 

 

Hiring Salary Range: $47,000.00 - 53,000.00. 

 

The hiring salary range for this position applies to New York, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education.  The benefits available for this position include medical, dental, vision, 401(k) plan, life insurance coverage, disability benefits, tuition assistance program and PTO or, if applicable,  as otherwise dictated by the appropriate Collective Bargaining Agreement.
