Your New Role…

Provides administrative support to the Chief Creative Officer and President, & SVP, TV Development and Production - Alloy Entertainment

Your Role Accountabilities…

Administrative Duties

Organizes and schedules meetings and Zooms. Maintains and updates executive’s calendar throughout the day as changes occur

Answers incoming phone calls in a polite and professional manner and accurately screens incoming calls, takes, and relay messages, maintains a call log

Coordinates meal reservations, gifts, and travel including flights, housing accommodations, ground transportation in various time zones

Coordinates event logistics for the company (i.e. development retreat), book tickets to screenings, film festivals, etc., as needed

Documents meeting minutes, action items, and status updates

Generates material in preparation for meetings including biographies, credits, upcoming projects, representation, and more

Keeps track of all ongoing projects and is well-informed of related activities and associated materials

Maintains weekend reading logs, and interdepartmental memos

Assists with research tasks, as needed

Maintains a strong organizational system for all materials and information

Disperses data and material with studios, networks and IP holders confidentially and thoughtfully

Creates and submits expense reports. Oversees general office operations, including but not limited to keeping inventory, ordering supplies, and coordinating with building personnel

Creative Support

Reads and writes coverage on submissions across TV

Maintains and organizes tracking grids for internal projects in TV development and production, talent tracking, submissions, etc.

Assists with building lists, creating decks, taking notes, conducting research, and executing special projects as needed.

Performs additional related duties as assigned

Qualifications & Experience…

Work Experience

Minimum 2-4 years experience managing an executive office within the TV industry required

Education, Professional Training, Technical Training or Certification

High School diploma or equivalent required

BA/BS degree required

Knowledge/Skills

Must have proficiency with MS Word & Excel, Filemaker Pro, PowerPoint, & the internet

Must have excellent proofreading & writing skills

Must have excellent organizational skills & possess ability to prioritize tasks

Must have excellent communication skills

Broad knowledge of TV industry required

Must have a strong knowledge of entertainment industry & key players

Must have ability to create & maintain databases & other resources

Must be able to interface with all levels of personnel, including senior management, clients, producers and journalists

Other Requirements

Must be able to interface with high-level talent, filmmakers, producers, key industry partners and external studios and networks with poise and professionalism

Must be able to handle highly confidential information

General Office Activities – including, but not limited to Walking, Standing, Sitting, Climbing stairs, Typing, Filing, Lifting, Bending, etc.

Must be able to work in extremely fast-paced environment

Must be able to handle multiple tasks simultaneously

Must have excellent follow-through skills

Must have ability to self-direct and take initiative to pursue projects in the office with minimal direction

Must be willing to collaborate with other support staff within the office on common tasks or projects impacting the larger department

Must be able to successfully see projects/tasks through to completion

Must be able to work under minimal supervision

Must be detail-oriented and maintain confidentiality

Must be able to work under strict time constraints

Must be able to resolve conflicts within the scope of responsibility

Must be able to work overtime, as required

Actual salaries will vary based on several factors, including but not limited to external market data, internal equity, location, skill set, experience, and/or performance. Base pay is just one component of Warner Bros. Discovery’s total compensation package for employees. Pay Range: $60,555.00 - $112,459.00 salary per year. Other rewards may include annual bonuses, short- and long-term incentives, and program-specific awards. In addition, Warner Bros. Discovery provides a variety of benefits to employees, including health insurance coverage, an employee wellness program, life and disability insurance, a retirement savings plan, paid holidays and sick time and vacation.
