Our client, a prominent insurance product distributor, is seeking a dynamic and highly organized Executive Assistant & Office Manager to support leadership and manage the day-to-day operations of a fast-paced office. This role combines executive assistance with office management responsibilities, ensuring the office runs smoothly while supporting multiple leaders across administrative tasks and strategic initiatives.

Key Responsibilities:

Manage multiple calendars, scheduling, travel, expenses, meetings, and events for leadership.Oversee the organization and maintenance of the office, ensuring a clean, efficient, and well-stocked workspace.Coordinate technology and vendor services, ensuring smooth meetings and office operations.Serve as the primary point of contact for building management, facilities-related communication, and maintenance requests.Manage office supplies, security access, and conference room preparation.Support leadership by assisting with event planning, guest relations, meeting preparation, and internal communications.Take ownership of onboarding processes, internal directories, and content management for internal systems.Collaborate with leadership to implement improvements and streamline administrative processes.

Qualifications:

3+ years of experience in an administrative or office management role.Strong ability to manage multiple priorities, projects, and vendors in a fast-paced environment.Proficient in MS Excel, Word, Outlook, and Microsoft Team Sites (OneNote, PowerPoint).Excellent communication skills, both written and verbal, with a high degree of professionalism and tact.Ability to work independently, think critically, and collaborate with team members.High level of integrity and attention to detail.Bachelor's degree preferred.
