Executive Assistant/Office Manager

Reporting to the Unit Leader, the Executive Assistant/Office Manager will provide high level administrative support and insight, guide initiatives with organization-wide impact, along with overseeing and maximizing the effective operations of the office. This position will work with internal and external stakeholders to ensure priority projects and strategic objectives are met.
 
In addition, this position will ensure that Leadership’s time is leveraged effectively, by engaging the right participants, setting the agenda, and ensuring the team is well prepared. The role requires and rewards a highly resourceful individual with strong emotional intelligence, motivation, and analytical skills.


Typical Duties and ResponsibilitiesProvide full administrative support to ensure that the executive functions and office operate in an efficient mannerOrganizing the office layout, ordering supplies, and ensuring the office is well-maintainedResponsible for meticulous calendar management, including planning meetings, coordinating recurring check-ins and communicating with multiple parties to schedule events.Reporting office progress to senior management and working with them to improve office operations and proceduresRecording office expenditure, managing the budget, and processing invoicesRespond to inquiries and communicate on behalf of LeadershipOrganizing company events, conferences including booking all travel Handling client billing, including accounts payableOther duties and projects as assigned.
