Job Summary

Office manager and senior level administrative assistant responsible for providing advanced secretarial and administrative support to Thrivent Bank executive(s) and supporting employees and external partners by managing daily administrative and office support functions. Responsibilities include maintaining executive schedules and calendars; coordinating meetings, conferences, presentations, and travel; Thrivent Bank front desk support; employee and vendor onboarding/offboarding; composing correspondence and handling communications; preparing reports and presentation materials; office-related employee engagement activities; and providing various project support. Receives and processes services and scheduling requests to address needs of the office space, mail services, equipment, furniture, moves, ergonomics, maintenance, meetings/events, wellness amenities, cleaning and other related services.

         

          

Job Responsibilities and Duties

Organizes and coordinates executive schedules by arranging appointments, maintaining calendars and scheduling meetings, conferences, travel, and presentations while handling telephone calls, greeting visitors, responding to information requests, and composing correspondence (often of a confidential nature), design, manage and implement a variety of on-site employee engagement activities and periodic on-site events, wellness programs, etc.Prepares meeting agendas and briefings, maintains meeting notes, arranges for implementation of action items, and prepares presentation materials and spreadsheets to produce high quality reports, presentations, and other documents.Maintains and promotes strong business relationships with key stakeholders in support of management objectives while coordinating a variety of daily office functions including maintenance, mail services, vending, janitorial, centralized office supplies, furniture, stocking supplies, and more.Assist and work with Thrivent Bank Chief Financial Officer on budgets for workplace programs; review and approve invoices, track, manage and control ongoing operating expenses, and identifying and coordinating projects to enhance the overall performance and effectiveness of the Thrivent Bank workplace. Cultivate relationships with departments, such as HR, to gain understanding of business direction and workplace needs; work with Thrivent Bank Chief Administration Officer and external vendors on day-to-day workplace needs and longer-term projects.Greets and assists all visitors, coordinates visitor registrations and is a subject matter expert in the building’s visitor management system, interfacing with both internal and external customers and vendors to develop and coordinate requirements for meetings, events, requests and other workplace activities by working collaboratively throughout the organization.Coordinates onboarding, offboarding and move processes for employees, and responsible for opening/closing office, managing Conference Center room reservations, and answering Thrivent Bank main phone.Partner with Corporate Safety & Security to address issues with access, access cards and card readers, and security alarms, assign replacement and temporary access cards, and manage security requirements for on-site service providers.

Job Qualifications

Required:

5 or more years of office manager and/or administrative/secretarial experience or related field.Bachelor’s degree or equivalent work experience in a financial or professional services environment; preferred experience in office and facilities management.Advanced business computer skills (Microsoft Word, Excel, PowerPoint).Ability to write business correspondence clearly and concisely, using correct grammar, vocabulary, punctuation, and spelling.Ability to handle multiple projects or tasks while effectively prioritizing to meet deadlines and maintain a high quality of work while maintaining integrity of sensitive/confidential information.On-site work at our office located in Cottonwood Heights neighborhood of Salt Lake City.Good decision making, attention to detail with excellent customer service, collaboration, and problem-solving skills.Interest in employee experience and office efficiencies with strong project management/coordination, contract, service level agreements, and vendor management experience.Ability to influence and build trust with individuals of all levels across the organization.

Other Critical Factors

Reports to and supports Thrivent Financial executive(s) (corporate VP and above).On-site work at our office located in Salt Lake City required with varying hours including evenings on occasion.Physical ability to perform manual labor including lifting a minimum 20 pounds.

Additional Information

This position requires you to work primarily on-site in Salt Lake City, UT, with some flexibility for remote work as determined by your manager.

The applicable salary or hourly wage range for this full-time role is $30.11 - $40.74 per hour, which factors in various geographic regions. The base pay actually offered will be determined by a variety of factors including, but not limited to, location, relevant experience, skills, and knowledge, business needs, market demand, and other factors Thrivent deems important.
