As our Executive Assistant, you will play a key role in providing daily support to the President and Canadian Leadership Team and work cross-functionally with different teams on-site at our Concord head office. Position: Executive Assistant

Job Type: Full Time

Schedule: Monday-Friday

Working Conditions: On-Site (5 days per week)

Location: Vaughan, ON

Annual Salary: $70,000 - 75,000

Purpose:

Provides administrative support to the President and Canadian Leadership Team (CLT).  Involved with the organization and execution of Company projects and functions as assigned.  Handles details of a highly confidential nature.  Provides front desk/reception coverage.

Job Responsibilities:

Performs administrative duties for President and CLT including arranging meetings/appointments/conference calls, video conferencing, answering/screening/directing telephone calls and visitors, taking and distributing meeting notes. Arranges travel and corporate/team meetings and events by developing itineraries/agendas, booking transportation, arranging lodging, catering, and meeting accommodations, processing expense reports, boardroom bookings for Town Halls.  Manages air travel credits on cancelled flights and American Express points redemptions.  Participates in Company Social Committee making arrangements for various events (BBQ, holiday party etc.) Organizes, arranges appropriate approvals and purchases supplies (office/kitchen, company swag, operations clothing). Sources and meets with vendors as appropriate. Produces documents, correspondence, proposals, presentations, reports and emails which include mass communications to all associates. Responds to customer calls when required and assists with customer presentations. In conjunction with other teams as required, contact vendors for repairs in office equipment. Completes projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others; monitory process, problem-solving, making adjustments to plans. Acts as Reception and acts as a back up to Accounting by taking deposits to the bank. Takes outgoing mail to mailbox. Provides calendar/vacation management to CLT as required. Provides support with Company Trade Show participation. Assists CLT with various tasks and special projects.  Performs all duties and responsibilities in an ethical manner and in accordance with Company policies and procedures Performs other job duties as required.

Qualifications:

Education/ Certifications:

Post-secondary education or equivalent combination of training and experience.

Experience:

4-5 years’ experience as an Administrative/Executive Assistant

Knowledge:

Highly proficient in MS office products (Word, Powerpoint, Excel, Visio) Bilingual (English/French) along with a driver’s license an asset

Skills and Abilities:

Ability to prioritize and multi-task with exceptional attention to detail and accuracy Must be able to work well under pressure while meeting deadlines Ability to be discreet and handle highly confidential information Excellent verbal and written communication skills Effective interpersonal and relationship building skills Must possess a high degree of self-initiative Project management skills along with organizational skills Must be able to work flexible hours as necessary to meet business needs, such as evenings, weekends and holidays as required.  

Physical Environment/Demands:

Occasional travel will be required.  A variety of shifts and/or days of work may be required on occasion. Stooping, bending, twisting, lifting and reach may be required in the completion of job duties. Most work is performed in a temperature-controlled office environment and occasional work may be performed in warehouse locations. with temperatures ranging from ambient to below zero. Incumbent may sit for long periods of time at desk or computer terminal. While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear.  Incumbent may use calculators, keyboards, phone and other equipment in the course of normal workday.

UNFI anticipates paying the above-referenced pay rate (or within the above-referenced pay range) for this position. Actual Pay, where applicable, will depend on a number of factors, including, but not limited to, education, experience, training, and any requirements under applicable collective bargaining agreements. Sales Positions Only: For sales positions that are commission-based, the above range is an estimate of total potential commission-based compensation during an associate’s first year, but UNFI offers an introductory period minimum of $680 per week. After the introductory period, as a 100% commission-based role, there is no set salary. UNFI’s commission plans are uncapped and average earnings vary depending on territory and sales achieved, among other factors.
