Executive Assistant- Pediatrics- Full Time- Days
Overview Job Description: Provides administrative support to the General Academic Pediatric Division within the Department of Pediatrics, reporting to the Division Chief and Department Director. Administratively supports division faculty members of primary pediatric outpatient clinics. Qualifications Job Requirement: • Organizes and maintains documents/files for faculty as directed. Completes and submits leave slips, time cards, travel requisitions and othernecessary documents for faculty. • Receives and directs telephone calls to the appropriate faculty and staff. • Maintains files/rosters/calendars, schedules and arranges meetings. Arranges travel, prepares itineraries and submits necessary paperwork.Specifically maintains General Peds clinic coverage calendar. Assists with scheduling and administrative support for Resident Clinic. • Coordinates faculty evaluation scheduling, document completion and routing. All other duties as assigned by the Division Chief, Department Directoror faculty member within the scope of this job description. • Assist with credentialing process for physicians and staff, ensures updated licensure and tracks required training and certifications. Tracks andsubmits practice protocols and notification to Board of Medicine. • Schedules room, equipment and catering as needed for meetings and training sessions as directed. Schedules and organizes monthly Divisionmeetings/conference calls. Takes minutes as requested. • Processes incoming and outgoing mail. Prepares envelopes and packages for mailing/shipping as required. Deliver correspondence when necessaryvia hand delivery or interoffice mail. • Prepares and submits check requests. Provides administrative support during budget process including report preparation, file documentation, etc. • Cross train with Developmental Pediatrics Administrative Assistant and/or Department Administrative team as needed to cover phones, etc. • Communicates with Ambulatory Administrators and Office Managers as necessary to ensure clinical coverage, verify leave requests, etc. Experience Requirements: 2 years administrative office experience required 5 years Executive level administrative experience in an academic setting preferred Education Requirements: High School Diploma or GED equivalent required Bachelors Business Administration or similar field preferred OTHER: Travel Required UFJPI is an Equal Opportunity Employer and Drugfree Workplace
