This role is pivotal in supporting our Leadership Team in ensuring smooth operation in the office and productive collaboration in the Leadership Team. In addition this role is driving positive outcomes to Internal Projects in a proactive and with an attention to detail.
Meaningful Work From Day One
This individual is essential to the Czech Team at the Prague office, providing high-level assistant support to the Leadership Team in administration, communication, project management, office management, and the car pool agenda while leading the reception. Strong administrative skills and attention to detail are crucial, with an expectation to engage proactively and ability to meet deadlines. You will be encouraged to drive positive outcomes daily in a team-oriented, multicultural, and supportive environment.
This is a fixed term contract (maternity cover, 2-3 years).
Office/hybrid role - 4 days a week in the office.
What You Can Expect
CSLT Support administrative support includes: general administrative tasks (update of local intranet, translation of documentation, orders in Coupa for office vendors), contracts and vendor management, travel arrangements, expense management, support on special project and ad-hoc tasks
Office support: Leading regular office meetings - Business Mixers and office events with receptionists. Responsible for managing the reception and ensuring coverage. Support of office operations. Responsible for the premium and professional outlook of the Prague office. Communication with the Office building management and other suppliers
Car fleet management - Managing the ordering process for company cars, overseeing the carpool system to ensure optimal usage and efficiency, allocating and distributing cars according to company policies and employee requirements in cooperation with the HR team, handling all administration related to the company car fleet, including contracts, insurance etc. Coordinating with employees to address car-related issues, maintenance schedules and replacements
Project Coordination: Active participation in company-wide projects such as office renovations, national conference, christmas gatherings and other initiatives
What You Bring to the Table
Proven experience and track record in an administrative role, experience with car fleet required
Strong organizational skills to manage deadlines effectively
Attention to detail to ensure accuracy and compliance
Mindset of continuous improvement and proactivity
Excellent interpersonal and communication skills
High level of professionalism and courtesy in performing administrative duties and communicating appropriately with a variety of contact points
Ability and willingness to act as a member of team, both with managers and their reports and with administrative colleagues
High standard of English language skills (spoken, written) and fluency in Czech
Ability to travel as needed to attend meetings, conferences, etc
