Executive Assistant to CEO

Description We are looking for an experienced Executive Assistant to support the CEO with administrative, operational, and strategic initiatives. Based in Virginia Beach, Virginia, this role involves managing executive-level tasks, coordinating projects, and serving as a liaison between departments and external stakeholders. This is an excellent opportunity for an individual with strong organizational skills and a proactive mindset to contribute to a dynamic and impactful organization.
Responsibilities:
• Manage the CEO’s calendar, schedule meetings, and prepare detailed meeting minutes and correspondence.
• Coordinate media outreach, public relations strategies, and draft news releases, media statements, and other communications.
• Collaborate with directors, department managers, and the Board of Trustees to align initiatives with the organization’s mission and long-term goals.
• Oversee and administer special projects, including scholarship programs and research initiatives.
• Act as the primary representative of the CEO’s office, greeting visitors and addressing inquiries with professionalism.
• Provide administrative support to various departments and directors as directed by the CEO.
• Assist with compiling annual budgets and reviewing monthly financial reports in collaboration with financial leadership.
• Support donor relations efforts in coordination with the Office of Philanthropy.
• Schedule and organize media interviews, podcasts, and outreach activities, serving as an associate producer for events and broadcasts.
• Foster connections with city officials and external organizations to support tourism, economic development, and outreach initiatives. Requirements • High school diploma and completion of two years of business school or equivalent education.
• Minimum of five years of progressive administrative support experience, with at least two years at an executive assistant level.
• Proficiency in Microsoft Office Suite and familiarity with customer relations and marketing programs.
• Strong organizational, communication, and interpersonal skills to effectively interact with diverse stakeholders.
• Experience with media campaigns, corporate social media, and drafting press releases.
• Ability to handle confidential information with discretion and accountability.
• Knowledge of Aptify software is a plus.
• Demonstrated ability to manage multiple priorities and projects simultaneously in a fast-paced environment.
