Summary
Job Summary
Provides high level administrative support for the Department/Program Chair. These functions require a
high degree of competence, skill, and capability for independent action to ensure the smooth operation of
the department/program. This includes a demonstrated ability for sound judgment in decision-making and
discretion when necessary. The Executive Assistant to Chair may provide day-to-day supervision of
lower level full or part-time administrative position/s, as assigned. This role requires a high level of
problem-solving skills, ability to manage deadlines, strong communication skills and interpersonal
effectiveness. Resolves and completes complex administrative tasks that may include travel itineraries,
manages schedules, facilitate/coordinate complex meetings, travel, conference calls, ability to produce
high quality meeting minutes and reports.
Minimum Education
Associate's Degree with 5 years experience or High School Diploma/GED with 8 years experience.
Minimum Experience Required
5 years administrative support experience in an office setting with at least 2 years directly supporting a
physician or physician group. Preferred experience in a healthcare, research and/or academic setting.
Minimum Skills/Specialized Training Required
Experience in Windows environment on a PC. Intermediate proficiency in Microsoft Word, Excel, and
Outlook.Requires excellent written and oral communication and interpersonal skills and ability to provide
information and service to a wide range of internal and external contacts.
Ability to coordinate calendars and scheduling for Faculty. Ability to make independent decisions on a
daily basis, addressing the best way to handle specific tasks. Must be able to collaborate with other
Executive Assistants and support team members, management and internal/external customers on a
regular basis. Ability to organize and prioritize work flow.
