The Executive Assistant is responsible for managing General Manager’s schedule, prioritizing tasks, and ensuring seamless coordination of all administrative and operational activities.
This position is part of the Discovery & Medical OpCo located in Shanghai. At Cytiva, our vision is, to advance future therapeutics from discovery to delivery.
In this role, you will have the opportunity to:
+ Schedule Management: Coordinate and maintain the executive leader’s calendar, including but not limited to meetings, appointments, conferences, and travel arrangements. Ensure timely reminders and follow-ups for all scheduled events.
+ Meeting Preparation: Prepare meeting agendas, compile relevant materials, and distribute them in advance to participants. Take accurate minutes during meetings and distribute them promptly afterwards.
+ Project Coordination: Assist in the planning and execution of special projects, events, and initiatives, ensuring timely completion and adherence to budget and quality standards.
+ Stakeholder Relations: Maintain positive relationships with internal stakeholders and external partners, facilitating communication and information flow as needed.
+ Sales supporting: Assist in the creation of new clients and preparation of documents required by clients. Keep track of price quote for non-regular PO chopping issue. Daily assist sales to complete the correct and timely system upload, collect system usage issues and cooperate with sales ops to answer questions and communicate information. Actively follow up on customer orders, assist in the preparation of customs clearance documents required by customers and assist finance team in the tracking of past due. Working with customers for after sales quality issue follow-up tracking.

The essential requirements of the job include:
+ Bachelor’s degree in business administration, Office Management, or a related field.
+ Minimum 3-5 years of experience as an Executive Assistant or in a similar administrative role supporting senior executives.
+ Exceptional organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines simultaneously.
+ Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
+ Strong written and verbal communication skills, with the ability to draft professional and concise correspondence.
+ Ability to work independently with minimal supervision, as well as collaboratively within a team environment.
+ High level of professionalism, discretion, and integrity.
+ Flexibility to work extended hours, including evenings and weekends, as needed.
+ Familiarity with travel booking platforms and expense management systems is a plus.
