About the Role

This role will provide comprehensive support to the Operating Company President and one other Company Executive. The ideal candidate will be organized, proactive, and capable of managing a wide range of tasks while maintaining a high degree of confidentiality and professionalism.  The person must work well across many levels and functions within the Operating Company and Water Segment.  This position will be the primary point of contact for all internal and external matters pertaining to these two offices.  This role also serves as a liaison to the senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The role communicates directly and on behalf of the President and provides a bridge for smooth communication between the President's office and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management staff.

The Executive Assistant will have the ability to work independently on projects from conception to completion and must be able to work under pressure at times to handle a wide variety of activities and confidential matters.

In this role, a typical day will look like:

Meeting Planning & Meeting Support

Coordinate the logistics of meetings (both local onsite meetings and off-site meetings), including conference room reservations, teleconferencing and video needs, food ordering, transportation, and social activitiesParticipates as a member of the team including assisting in scheduling, drafting agenda, preparing and/or consolidating presentation materials (including editing for format and consistency) and attending executive meetings.Participates actively in the planning and execution of engagement and company events (holiday parties, community events, teambuilding, etc.)

Calendar Management

Efficiently manage and coordinate complex schedules including prioritizing meetings (internal and external), time-sensitive discussions, calls, and appointments while considering time zones 

Document Creation

Draft, proofread, and edit a variety of documents and reports.  This includes but isn’t limited to Policy Deployment (PD) materials, President’s letters, and any L1 meeting materials.Archive meeting materials, meeting minutes, and other important documents  

Travel Coordination/Expense Reporting

Arrange travel itineraries for both domestic and international trips (this includes flights, hotels, and ground transportation) ensuring seamless travel logistics.  This requires the flexibility and agility to deal with unexpected travel changes should schedules change during the tripIndependently prepares expense reports and purchase orders with a solid understanding of the expense reporting, invoicing and purchase order procedures and budget process.

Stakeholder Liaison/Special Projects

Act as a key point of contact and liaison between executives and internal/external stakeholdersManage special projects as assignedMentors, coaches, and develops other EA’s; creates inclusive culture amongst the EA community within the operating company

The below range reflects the range of possible compensation for this role at the time of this posting. We may ultimately pay more or less than the posted range. This range may be modified in the future. An associate’s position within the salary range will be based on several factors, including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, shift, travel requirements, sales or revenue-based metrics, any collective bargaining agreements, and business or organizational needs.

The compensation range for this role is $80,000 - $100,000 USD per year. This job is also eligible for Bonus Pay.
