What you'll be doing
The Administration group is comprised of Legal, Corporate Secretary Division, Client Complaint Appeals Office, Complaints Management Program, Whistleblower and the Enterprise Environmental, Social and Governance (ESG) functions. Collectively, this group enables CIBC’s core purpose: to help make our clients’ ambitions a reality by providing our business partners across CIBC with the expert support, strategic advice, programs, policies, controls and governance needed to help build a relationship-oriented bank for a modern world.
Reporting to the Senior Manager, Business Management, the Executive Assistant will manage the day-to-day administrative activities in support to three Vice President executives across the Administration group. Responsibilities include calendar/meeting management, travel coordination, expense management, meeting summaries/minutes etc.
At CIBC we enable the work environment most optimal for you to thrive in your role. You’ll have the flexibility to manage your work activities within a hybrid work arrangement where you’ll spend 2-3 days per week on-site, while other days will be remote.
How you’ll succeed
Calendar management - Maintain and monitor the Executives’ calendars of scheduled appointments, upcoming events and matters requiring immediate attention. Coordinate agendas, and send meeting invitations and agendas to attendees, book meeting rooms and arrange for IT resources and refreshments in support of smooth and efficient meeting facilitation.
Travel arrangement & expense reporting - Arrange travel arrangements and maintain travel expense account including expense submissions on behalf of the Executives. Monitor and track all department invoices and expenses including contracts; process expense reports/invoices and update financial reports when required.
Professional support - Prepare standard correspondence, reports and presentations frequently of a confidential, strategic and/or specialized nature ensuring completed material is produced in a timely manner. Assist with the preparation of presentations and management reporting. Coordinates leadership team meetings including sending out invites and agenda, keeping and sharing minutes and compiling presentation materials.
Administrative duties - Provide ongoing administrative support such as; assisting with onboarding/off boarding activities for new and departing employees which include processing requests for technology requirements, business cards, corporate cards, expense, and travel profiles etc. As required, put together decks for any team or annual events, under the guidance of the Executive and their directs. Act as a delegate for executives and their directs, as required, for workday transactions.
Who you are
You’re an experienced and proactive administrative professional. You have at least 3-5 years of experience as an Executive Assistant in a highly professional, confidential and fast-paced environment.
You’re a strong communicator. You have excellent verbal and written communications and interpersonal skills to interact with a wide range of individuals in a wide range of situations, which usually requires tact, respect, diplomacy, and discretion.
You’re digitally proficient. You have strong command of MS Office suite including Word, Excel, PowerPoint, and Outlook.
You know that details matter. You are well organized and notice things that others don't. Your critical thinking skills help to inform your decision-making.
