**What you’ll be doing**
You’ll provide ongoing support to a team that goes above and beyond. As an Executive Administrative Assistant, you’ll work closely with three executives to deliver high quality administrative support.
_At CIBC we enable the work environment most optimal for you to thrive in your role. You’ll have the flexibility to manage your work activities within a hybrid work arrangement where you’ll spend 1-3 days per week on-site, while other days will be remote._
**How you’ll succeed**
+ **Administrative Support -** Calendar management, communications (emails, telephone), event planning, minutes, and reports (frequently of a confidential strategic and/or specialized nature). Briefing executives before appointments or meetings with appropriate background information from computer information systems and/or files. Maintaining administrative procedures and processes for the executives (e.g., preparing expense accounts and ensuring they are kept in good order, overseeing the ordering and maintenance of stationery supplies and equipment). Plan and book upcoming travel as required.
+ **Filing and Recording -** Organize and maintain internal documents. Record meeting minutes for management and prepare meeting agendas. Team administration as required; HR/ServiceNow requests, completion of audit responsibilities, facility and records management and maintenance of software licenses.
+ **Teamwork -** Provide administrative guidance to team members in an enthusiastic manner, creating a forward thinking culture of success.

+ **You can demonstrate experience** and have excellent communications and interpersonal skills to interact with a wide range of individuals in a wide range of situations, which usually requires tact, diplomacy, and discretion. Able to liaise with all levels of the organization and to use strong networking skills to achieve results and obtain information required. Able to adapt to changing priorities in a calm and professional manner.
+ **You have strong technical skills** : in Microsoft Office software applications (e.g., Excel, Word, PowerPoint, Outlook).
