Executive Assistant to SVP/CGO

Responsibilities What You'll Do Supporting the Senior Vice President, Chief Growth Officer and direct reports. This position will work out of the Reston, VA headquarters. This position works independently performing a wide range of complex and confidential work. These tasks may include support to the Growth (BD and Capture) teams and he/she will coordinate across the portfolio. The Executive Assistant must be invested in making sure she/he understands what is most important to the SVP, CGO. The key to success is grounded in the relationship that is established between the executive and assistant. The payoff is that the relationship is solidified, trust is established, what needs to be learned has been identified, and resources have been put into place to ensure that the knowledge is acquired and applied. Key Responsibilities: Performs high level administrative support for the CGO, and their team, relieving them of routine administrative duties. Creates calendar notice reminders for assignments and deadlines for the CGO. Ensures receipt of information to prepare all assigned reports. Responsible for compiling the updates and submitting the reports by the date assigned. Conducts various methods of research, as directed. Pays annual professional certification and training invoices using department Purchase-Card (P-Card), as required. Processes invoices and travel expense reports as received from the HR team. Answers the telephone, receives, and directs callers, receives, and distributes written correspondence. Receives incoming physical mail and email for the CGO making note of actions or follow up needed ensuring any deadlines are met. Responsible for forwarding communication notices and general information to entire Growth team, including new procedure announcements and organizational notices. Arranges extensive travel coordination, domestic and international, providing precise details of travel and agendas. Proactive in all travel logistics and resolution of conflicts. Currently travel coordinated through AMEX and CONCUR. (Subject to change) Maintain and update applicable organizational charts verifying accuracy, formatting, and reporting structure. Work quickly and efficiently; remain flexible to shifting of priorities. Maintains the CGO’s complex calendar, scheduling appointments and sending calendar notices for meetings, entry of all travel details. Emails notices of re-delegation of signature authority for executives to ensure coverage while out of office. Requests and forwards Visitor Access Information forms to the Security Department for visitor access to corporate offices, always maintaining security. Arranges access to V2X Systems Corporation locations for the CGOO when visiting offsite projects. Arranges meetings and conferences for the CGOO. Maintain conference call scheduling calendar, and arranges catering when needed and assist in the preparation and collection of presentation materials and slides. Serves as Purchase-Card (P-Card) holder and reconciles and allocates P-Card purchases in accordance with company policy. Requisitions office supplies and remembrance/get well orders and allocates charges to department charge codes. Manages the requisite technology requirements for the Growth team. Work with the V2X Administrative Team on various initiatives as required. May be required to work overtime hours, as requested, and approved by the CGO Qualifications Minimum Requirements: Education: Associates Degree Preferred Experience: Minimum five (5) to eight (8) years' experience supporting a C-Level Executive Heavy calendaring and travel management experience required. GOVCon experience required. Other Requirements: Security Clearance a plus U.S. Citizenship required Must be able to travel or work overtime as required. Desired Qualifications: Experience: Experience working for a global company preferred. Growth, BD and capture knowledge preferred. Experience in managing large or complex projects; comfort with ambiguity. Business Partner/Effective communicator: Superb coordination and time-management expertise, with the interpersonal talent to instill confidence in others to meet agreed-upon assignments. Excellent writing, editing and verbal communication skills. Collaboration and Teamwork/Influence: Professional appearance, behavior, communication, and collaboration skills to represent the Chief Growth Officers’ office. Software/Technology: Highly skilled in Microsoft Office 365 applications, Teams, and Adobe technology; able to successfully operate laptop, copier, and standard office equipment. The successful candidate’s starting pay will be based on, but not limited to, their job-related skills, experience, qualifications, work location, and market conditions. The following salary range is intended to display the value of the company’s base pay compensation and may be modified at the discretion of the company. USD $75,000 - $110,000 Provided salary range minimum and maximum values correspond to variances between regional/geographic locations across the United States.
