Executive Assistant

Executive Assistant to support the CEO in Healthcare industry. Contract to Hire opportunity. Regular business hours, Monday-Friday. South Charlotte.

Responsibilities:

Approve invoices, timesheets, PTO requests, and expense reports.Manage and submit expense reports for executive.Monitor and manage emails, calendar, and meeting documents.Coordinate and schedule meetings for leadership and committees.Attend key meetings, take minutes, and distribute records.Serve as Board liaison, handling communications, forms, and updates.Proof, edit, and finalize reports, presentations, and correspondence.Oversee website updates related to physicians, board, and office locations.Assist with finance and quality improvement survey requests.Arrange travel and accommodations for executives and interviewees.Plan leadership events, including Board appreciation and holiday dinners.Provide notary services as needed.

Qualifications:

5+ years of administrative, executive support, or related experience.Strong organizational and multitasking skills.Excellent communication and proofreading abilities.Experience coordinating meetings, calendars, and travel.Proficiency in Microsoft Office and expense management systems.Ability to handle confidential information with discretion.Notary certification (or willingness to obtain).
