Representing the Executive Team and organization as a whole in a professional manner.
Maintaining the utmost levels of confidentiality and discretion.
Providing comprehensive administrative and logistical support to the CFO.
Providing administrative support to Finance & Accounting Team Leaders as needed.
Managing the CFO's Outlook calendar to ensure productive and effective scheduling.
Attending meetings as assigned, taking thorough notes, and tracking action items.
Keeping the CFO current through regular and timely updates and debriefs.
Managing the CFO's action items to ensure timely deliverables.
Preparation of organizational charts, correspondence, and mailings.
Completing expense reports on behalf of assigned Leader(s).
Arranging travel and conference/meeting attendance as needed, including pricing and booking travel and lodging.
Obtaining quotes and/or scheduling travel, conference calls and video conferences.
Scheduling meetings, ensuring proper arrangements are made (e.g. booking conference rooms, making restaurant reservations).
Preparation and distribution of meeting notes.
Preparation of presentations.
Assisting in coordinating company events including holiday gatherings, community involvement, and retreats.
Maintaining professional appearance of meeting spaces.
Completing other duties, including but not limited to special projects, clerical and administrative tasks, and errands, as requested.
Ideal BackgroundEducation: High School Diploma or equivalent is required. Advanced coursework is highly preferred.
Experience: This position requires at least 8 years of relevant experience in executive administrative and clerical services in a professional environment. An equivalent combination of education and experience may be considered.
Familiarity with Finance & Accounting terminology and strongly preferred.
Proficient in use of common office equipment and office administration procedures.
Proficient in the use of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Extreme attention to detail.
Excellent proofreading and grammar.
Ability to communicate effectively, both verbally and written.
Ability to maintain confidentiality in all areas.
Ability to work in a fast-paced environment requiring multi-tasking.
Ability to prioritize effectively and adjust according to changing needs.
Ability to develop reports.
Ability to maintain positive, effective working relationships with Teammates, Clients, and vendors.
