The Executive Assistant to the CHRO provides comprehensive support to the CHRO, serving as a highly professional administrative support and resource. This role is pivotal in ensuring the smooth operation of the entire HR function by facilitating and managing the execution of HR initiatives while supporting the CHRO in key priorities. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. The role will require flexibility and discretion while maintaining the confidentiality of high-level systems and operations.
Core Responsibilities:
Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CHRO.
Build and maintain effective working relationships with both internal and external customers that will help facilitate effective communication of business information.
Manage a complex calendar and scheduling for the CHRO, including agendas, email, phone calls, meetings, appointments, expense report management and all travel arrangements as well as content and flow of information to executives within the organization.
Coordinate logistics, schedules, meeting participation and reservations, for all internal and external meeting/conference related activities for the CHRO and HQ based HR Leadership team members.
Prepare meetings, communications, presentations, and any other documents on behalf of the CHRO.
File and retrieve documents and reference materials, document proofreading and preparation and key deliverable dates and reminders.
Conduct research, collect and analyze data to prepare reports and documents.
Manage and maintain the CHRO's office systems, including secured data management and filing.
Provide a bridge for smooth communication between the CHRO's office and internal departments, especially with other Executive Leadership Team members and their EAs; demonstrating leadership and collaboration to maintain credibility, trust, and support with senior management staff.
Support the HR Leadership Team with meeting and travel requests as well as expense reimbursement.
Partner with Chief of Staff to build monthly decks, support HREC staff meetings, global HR community sessions, and other global meetings steering by HR Leadership Team. Responsible for the annual HR calendar in collaboration with the HR Excellence team.
Support the Executive Compensation team in preparation of materials for the Board of Director meetings including binding and distributing “books” for distribution to senior management or others as instructed.
Accountable for all travel reimbursement and invoice management, vendor management and monitoring corporate HR budgets for the CHRO and HR Leadership Team.
Drive projects as per annual objective setting, e.g., Scholarship America.
Act as local support to other ELT members and as back-up for the EA of the CEO during leave periods.
Qualified candidates will have:
Education and Experience:
Bachelor’s Degree, or equivalent is preferred. Coursework in general business/finance is also preferred.
A minimum of 5 years of experience in administrative support functions, with at least 3 years of experience supporting C-Level Executives.
Experience working in a multinational company with an international scope of responsibility
Proven experience as an executive assistant or in other secretarial positions.
Proven experience in budget, invoice and vendor management.
Required skills:

Full comprehension of office management systems and procedures.
Excellent knowledge of MS Office, with strong proficiency in PowerPoint and Excel.
Effective analytical skills including demonstrated experience building tables and charts to present information.

Strong organizational skills including demonstrated experience in a fast-paced environment with the ability to successfully coordinate and handle multiple tasks/activities simultaneously with exemplary planning and time management skills.

Demonstrated ability to work collaboratively and build relationships across the organization.

This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities. Additionally, the ideal candidate will have experience in budget tracking and management to support the budgeting process and financial aspects of the entire HR department.
High level interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners.
Excellent written and verbal communication skills.
Furthermore, the role requires regular office presence to collaborate with the other Executive Assistants and to act as point of contact for the CHRO and the HR Leadership Team.

$81,680.00-$108,906.67 AnnualThis pay range is not a guarantee of compensation or salary. Final base salary will be determined based on several factors which may include but are not limited to responsibilities of the job, education, experience, knowledge, skills, and abilities, as well as internal equity, alignment with market data and applicable bargaining agreement (if any).
Incentive Compensation:
As a part of the total compensation package, this role may be eligible for the Ingredion Annual Incentive Plan or a role-specific commission/bonus.
