Executive Assistant to the Office of the President

Position purpose:  

The Executive Assistant to the Office of the President provides comprehensive administrative and operational support to the First Lady, the Vice President for Executive Communication and Presidential Initiatives and the Vice President for Imagination, Strategic Initiatives and Partnerships, while also serving as a key contributor to the overall functionality of the Office of the President. This role ensures seamless coordination of schedules, communications and travel, manages office operations and budget, and supports executive-level initiatives and events. The Executive Assistant also serves as a backup to the Executive Assistant to the President and plays a critical role in maintaining continuity and excellence in service across the office.

Essential Functions:

1. Provides high-level, comprehensive and proactive administrative support to the First Lady, Vice President for Executive Communications and Vice President for Imagination, Strategic Initiatives and Partnerships. Support includes, but is not limited to, calendar management, travel coordination, meeting preparation and correspondence.  

2. Maintains and updates office records, documents, and standard operating procedures to ensure efficiency and compliance throughout the Office. Monitors and tracks office coverage and outages, ensuring consistent support and responsiveness across the Office of the President.

3. Manages the Office of the President and the Vice President for Imagination, Strategic Initiatives and Partnerships budgets including tracking expenses, processing invoices and maintaining accurate financial records.

4. Coordinates logistics and preparation for University Leadership Team (ULT) meetings, including scheduling, agenda development and materials distribution. Ensure smooth execution of ULT functions and follow-up actions in alignment with institutional priorities.

5. Serves as reliable back-up to the Executive Assistant to the President, ensuring continuity of service and support during absences or high-volume periods.
