GENERAL DESCRIPTION
Reporting directly to the VP, Operations, the Executive Assistant provides executive support in a one-on-one working relationship to Operations, General Counsel, and GM of USP Technologies Business. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the Vice President. The Executive Assistant also serves as the Facilities Manager for the corporate office and liaison between facilities/maintenance and our business. This role is the liaison to the senior management teams and the functions reporting into Operations; organizes and coordinates executive outreach and external relations efforts; and oversees special projects.
The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
ESSENTIAL FUNCTIONS & RESPONSIBILITIES
Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel in addition to functional meetings reporting into Operations.Manages the Executive’s travel bookings, schedule, and expense reporting in accordance with our compliance standards.Maintains customer confidence and protects operations by keeping information confidential.Manages the corporate office facilities, repairs and maintenance schedule and ticketing system for immediate issues. Maintains relationship with landlord and upcoming building notifications to the organization.Lead and coaches the front desk coordinator on facilities support, customer service and phone etiquette, and general customer service.Prepares reports by collecting and analyzing information.Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.Contributes to team effort by accomplishing related results as needed.SUPPLEMENTAL RESPONSIBILITIES
Front desk phone coverage as needed; Support all other administrative staff in back up situations.Supports the functions underneath the VP, Operations with ad hoc requests, such as ordering lunches, for special occasions, etc.Handle all individually assigned tasks; share interdepartmental communicationOther duties as assigned.KNOWLEDGE & SKILLS

An associate’s position within the salary range will be based on several factors, including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, shift, travel requirements, sales or revenue-based metrics, any collective bargaining agreements, and business or organizational needs.
The compensation range for this role is $36.54 - $39.42 USD per hour.We offer a comprehensive package of benefits including paid time off, medical/dental/vision insurance and 401(k) to eligible employees.
