What you'll do

In your role as Executive Business Assistant (f/m/d) to Gina Vargiu-Breuer, Chief People Officer, you will not only manage the day-to-day business operations for the Chief People Officer, ensuring efficient executive representation, and maintaining high levels of customer satisfaction across our global offices, but also monitor concept quality and People & Culture delivery into the organization. Working at the headquarters in Walldorf, near Heidelberg, is a prerequisite
 

Trusted Business Executive Assistant to the Executive Board Member: Act as the primary interface and trusted advisor between People & Culture leadership and the Executive Board Member, ensuring efficient prioritization, stakeholder management and problem-solving. Address unforeseen challenges, and escalations with urgency and discretion. Senior Management Collaboration: Partner to our People & Culture Practices to oversee organizational priorities, monitor milestones, concept quality and deliverables, and maintain effective stakeholder management. Proactive Problem Solving and Risk Management: Identify potential red flags, foresee risks, and take proactive steps to address challenges before they escalate. Resolve unforeseen issues, customer inquiries, and escalations with urgency and discretion, safeguarding the Board Member’s time and focus. Liaison and Relationship Builder: Facilitate effective communication and foster strong relationships across employees, senior leadership, and other internal and external stakeholders, maintaining a collaborative and professional environment. Presentation and Communication Excellence: Prepare and ensure delivery of impactful presentations for the Supervisory Board, Executive Board, and other key audiences, ensuring clarity and alignment with strategic objectives. Project and Initiative Leadership: Lead cross-functional teams to deliver high-impact projects, driving results through collaboration and effective resource management. Event and Briefing Support: Plan and coordinate events, meetings, and briefings for the Executive Board Member, ensuring seamless execution and alignment with strategic priorities. Travel Support: Accompany the Board Member periodically to internal and external events, providing on-site support to ensure success and mitigate risks.

 

What you bring

 

People & Culture Expertise: Over 5 years of professional experience in an HR role or HR practice in a consulting environment. Advanced knowledge of a People & Culture Topics and concepts, Total Rewards and/or Talent Leadership highly desired.  Efficiency: Proven ability to work under time pressure, demonstrating resilience and adaptability, with a keen ability to independently solve problems. Demonstrated ability to prioritize and juggle numerous tasks simultaneously, while recognizing and monitoring possible challenges and red flags.  Communication: Exceptional verbal and written communication and negotiation skills with a positive "can-do" attitude. Demonstrated sophisticated problem-solving skills with the ability to adapt communication styles, being assertive or diplomatic as needed for the situation. Strong communication and interpersonal skills to effectively interact with stakeholders at all level Project Management: Very good project management skills, ability to structure complex tasks under time pressure. Exceptional organizational and prioritization skills, with a track record of managing complex and dynamic priorities. Skills & Capability: Strategic-thinking, Project Management, Expertise on structuring and executing complex tasks under time constraints while prioritizing effectively, capability to identify red flags and forsee potential risks and develop mitigation measures. Extensive business acumen, with a very good understanding of human resource functions to contribute effectively to the organization's overall goals and objectives. High level of integrity, demonstrating the ability to interact and build trustful relationships with executives inside and outside the company. Ability to work under pressure, handle confidential information with discretion, and flexibility to handle shifting priorities. Fluent in English and German.
