The pay range for each role reflects Rush’s anticipated wage or salary reasonably expected to be offered for the position. Offers may vary depending on the circumstances of each case. **Summary:** **The Executive Director of Fund Management and Systems is a senior position in the Office of Philanthropy that is responsible for ensuring the effective and efficient functioning of a variety of advancement services functions as well as the alignment of team goals and activities with departmental objectives. The Executive Director manages four direct reports and seven additional indirect reports from the following teams:** Data Systems & Reporting, Donor Fund Management, Stewardship and Gifts and Records Management. The position reports to the Vice President, Operations and Engagement and collaborates closely with the Office of Philanthropy’s Leadership Team members and other managers across the department. The individual holding this position will exemplify the Rush mission, vision and values and will act in accordance with Rush policies and procedures. **Requirements:** + Bachelor’s degree required; Master’s degree (especially MBA) preferred; + Ten years of development experience, preferably in a large and complex setting such as a hospital, university or cultural institution; + A minimum of three years of demonstrated success in managing advancement services functions such as gift processing, data systems, and prospect development + Strong experience in managing people to achieve goals and maintain employee engagement; Proven track record in the development and management of complex projects and knowledge of technical tools to support departmental goals; + Knowledge of Affinaquest/Salesforce CRM a strong plus; experience with fund management and finance departments desirable. + Excellent oral and written communication skills; Strong analytic and organizational skills; and Strong collaborative skills in team settings while also showing a high level of independence and initiative. + Ability to represent Rush and articulate its mission to a variety of constituencies with poise and diplomacy. Ability to handle multiple projects simultaneously. **Responsibilities:** **Overall management of the Fund Management and Systems function:** + Provide leadership in the creation and implementation of strategic initiatives that support the operational objectives of the department; allocate personnel and budgetary resources accordingly; Serves as a member of the Philanthropy Leadership Team (PLT) + Oversee the development of annual goals for each Fund Management and Systems function and ensure that goals and strategies align with departmental and institutional goals. + Ensure the effective integration of goal setting and program implementation among the Fund Management and Systems teams to support high levels of productivity across the office. + Guide the creation of annual budgets for Fund Management and Systems teams and ensure compliance with the same. + Ensure that policy and procedure statements regarding Philanthropy staff’s use of the database, electronic storage tools and e-communications systems as well as gift and record management are in place, meet industry standards, and are updated as needed; oversee implementation of these procedures to adhere to IRS rules, Rush policies, and quality standards. + Plays a critical role in the continuing implementation of and all future refinements/enhancements to a new Salesforce/Affinaquest based CRM for the Office of Philanthropy. Works closely with RUSH IS and Rush Salesforce Center for Excellence to ensure smooth migration of data, training of colleagues and transition to a new system. + Oversee the implementation of regular staff training in the use of technology tools such as Affinaquest, OnBase, Salesforce,and others as appropriate; evaluates departmental software needs collaborating with Rush IS, procurement and cyber security. + Supervise direct reports and their management of their respective functions to achieve team goals, ensuring that responsibilities are clear within each function. + Work to maintain strong staff engagement among direct and indirect reports. + **Data Systems and Reporting:** + Ensure that the program of database administration, report development, data security, and CRM database training of staff is responsive to the overall needs of the department and that priorities are communicated proactively. + Ensure the integrity and safety of donor data in all respects and support productive collaboration with other Rush departments, such as IS, in meeting Philanthropy goals. + Advocate for the integration of new technology that can enhance the effectiveness of technical tools and data interfaces with Rush’s Finance department and external applications. + **Stewardship and Gifts and Records Management:** + Directly manages and supports Senior Director, Stewardship and GRM in the development of a robust and donor-centric stewardship and GRM team; Responsible for all gift agreement processes, gift acknowledgments, pledge reminders, recognition and gift reporting processes. + Serve as liaison to Legal, Finance and Research Affairs regarding questions related to the creation of new funds and the appropriate allocation of gifts to funds; Review and approves reimbursement and funding requests in accordance with the Philanthropic Funds Management Policy; Educates colleagues across Rush to ensure compliance with this policy. + Analyze gifts and records management procedures and oversee the implementation of any changes to increase efficiency and accuracy. + Collaborate and strategize with Senior Director Stewardship to engage University president, provost and deans in support of faculty appointments for RUSH’s 100+ endowed faculty positions; Ensure appropriate spending policies are updated and annual reporting requirements are met. + Serve on selected Rush-wide committees, such as the Special Purpose Fund and Financial Suspense committees, to help ensure that Rush policies and procedures related to the use of philanthropic gifts are appropriately received, documented, and allocated. + **Brian Piccolo Cancer Research Fund Management and Stewardship:** + Serve as primary contact and RUSH liaison to the Brian Piccolo Cancer Research Fund, managing all aspects of fundraising, stewardship, and events for the Fund; Work directly with RUSH Cancer Center leaders to identify funding needs and secure philanthropic support for cancer research.
