Beacon Hill Legal is seeking an Executive Legal Secretary for a growing firm in Downtown Dallas. This role will provide comprehensive administrative support to multiple attorneys in the Litigation Section. The opportunity is direct hire, full time, and allows for one day remote after the 90-day training period.

Essential Duties and Responsibilities:

Draft documents such as briefs, complaints, motions, subpoenas, and summonses using firm templates and attorney-provided informationManage multi-document filings, ensuring proper formatting for each court and e-filing in both State and Federal courts Enter and maintain case information in Court Alert, including dates and remindersPrepare notebooks, binders, exhibits, and other necessary documentation; organize and maintain documents in the document management system Assist timekeepers in meeting deadlines and keeps them informed of upcoming responsibilitiesSchedule and coordinate conferences and meetings, including room bookings, video conferencing, meal arrangements, and material preparationManage the billing process, including time entry and billing memos, ensuring timely closure of timekeepers' entriesPrepare materials for client meetings and update client contact listsHandle travel expenses and arrangements, including airline, car, and hotel reservationsAssist with new attorney admissions to jurisdictions, memberships outside the firm, and coordinate CLE submissionsSort, date, and ensure timely delivery of incoming and outgoing mailPrepare materials for publication or speaking engagementsConduct research using the internet or other web-based programsEnsure secretary backup support is provided as needed during scheduled time off

Requirements:

Bachelor's degree preferredMinimum of 3 years' of litigation experience required, preferably in a mid-to-large size firmProficient in Microsoft Office Suite (Outlook, Word, Excel), document management systems (NetDocs), billing software (Carpe Diem), and expense software (Chrome River); experience with ECF and Texas state e-filing systemsAbility to prepare complex documents using advanced word processing featuresSelf-starter capable of working independently with high accuracy in a high-volume environmentAbility to balance workload and meet deadlines while maintaining qualityAbove-average customer service skills and a willingness to assist othersAbility to work overtime as needed
