The Opportunity
We’re looking for a highly motivated, engaged, and experienced Executive Liaison to provide administrative support. Activities include coordinating and loading materials for Board of Directors Audit Committee meetings, planning monthly team meetings and offsite sessions, partnering with teams across the division while managing complex calendars of senior leaders, and providing backup support to other administrative support managers across the audit team. This team requires someone who enjoys working in a fast-paced environment, is comfortable taking on complex administrative tasks and enjoys working in partnership with others both on our team and across the enterprise. This position is based in Springfield, with a hybrid schedule.
The Team
Corporate Audit works across the enterprise resulting in a holistic perspective on businesses. We complete a wide variety of risk-based audits and projects each year, supporting our strategy and a strong risk-control environment. Our diverse team is comprised of analysts, accountants, technology specialists, lawyers, business professionals and actuaries with years of industry and MassMutual business experience.
The Impact:
This is a multi-faceted role in which you will take initiative and utilize a proactive approach in fulfilling the administrative needs for the General Auditor and for senior leaders within Audit. You’ll have a positive, supportive and professional demeanor working with numerous internal partners across the enterprise
Our administrative support needs to possess high attention to detail and strive to deliver high quality product accuracy and organization while being an active partner on our team. Your responsibilities will include, but not be limited to the following:
Process highly confidential information involved in coordinating and producing sensitive reports and analyses, issuing completed audit reports and managing key metricsFinalize high-level materials; review/edit/audit materials prepared by team (e.g., Board of Directors Audit Committee materials agendas, and meeting dates, materials in PowerPoint, Excel and Word files). Coordinate, upload, and track all materials and deliverables for MassMutual Audit Committee and subsidiary audit committees.Calendar management: Manage executive's calendar and outside professional and civic obligations while interacting with other high-level departments such as Compliance, Law, Enterprise Risk Management, Corporate Finance and various audit committeesInterface with executive support teams across the enterprise to coordinate required meeting materials, schedules, reserve appropriate conference rooms and coordinate travelWork closely with executive assistants/liaisons across the company to plan and prioritize meetings and eventsPrepare bi-weekly and monthly meeting agendas and take minutes as needed, including circulating action items for follow-up.Onboard and offboard employees and contractors, proactively identify facility/equipment/system issues; Submit service requests as needed.Minimum Qualifications
High school diploma (or equivalent diploma)5+ years of related experience with executive administration, office manager, or similar rolesThe Ideal Qualifications
Bachelor’s Degree7+ years of related experience with senior executive administration, office manager, or similar roles in the financial services industry, preferably in an investment management business2+ years of experience event planning, calendar management and meeting coordinationProficient working knowledge of Power Point, Excel, Word, Ariba, Concur, and other technology required to support an execution organizationStrong communication skills with the ability to communicate effectively using verbal and written methods to all levels of an organizationHigh level of attention to detail and time management, with a strong understanding of the importance of being responsive and proactive in a deadline-driven environmentCollaborative approach, performs routine administrative support proactively and demonstrates openness to provide assistance as urgent situations or ad-hoc needs arisePositive attitude and strong work ethic, comfortable working with senior executives, internal legal counsel, internal and external stakeholders, external auditors and consultantsTeam Player/Relationship Builder: Collaborative with strong interpersonal skills; able to relate to and build strong relationships with diverse internal and external audiences; leverages the ability to deliver effectivelyInnovation: Continually looks within and beyond their job, anticipating business needs and opportunitiesExpertise with communication tools like Zoom and SlackExpert knowledge and comfort working with advanced versions of Microsoft Office suite (Word, Excel, PowerPoint, etc.) Proficiency with Concur and WorkdayPrevious experience working in a financial services / insurance organizationWhat to Expect as Part of MassMutual and the Team

Salary Range: $84,500.00-$106,500.00
