Executive Officer

We currently have an opportunity for an Executive Officer to join our Downer Professional Services team and play a key role in delivering complex defence and national security projects that safeguard Australia’s future. 

The Executive Officer will play a vital role supporting the DPS Leadership Team, ensuring seamless operations in a fast-paced environment. This role provides high-level administrative and executive support, including calendar management, meeting coordination, travel arrangements, and confidential document handling. The position requires strong organisational skills, the ability to manage competing priorities, and discretion when dealing with sensitive information. Effective collaboration with senior leaders is key to delivering timely and professional support. 

What You’ll Do

This role offers a broad scope, with key responsibilities including:

Executive Administrative Support: Manage complex calendars, coordinate high-stakes meetings, draft professional correspondence, and handle sophisticated travel arrangements. Strategic Communication & Confidential Documentation: Serve as the primary liaison for executives, ensuring clear, timely communication and preparing, reviewing, and distributing sensitive reports, presentations, and minutes. Project Leadership & Operational Efficiency: Lead special projects with precision while overseeing office management functions to ensure the executive office operates at peak efficiency. Event Management: Plan and execute high-profile events, including executive meetings, industry conferences, and team-building activities, ensuring flawless delivery and impactful outcomes. Insightful Research: Conduct comprehensive research on diverse topics, providing well-informed summaries and actionable recommendations to support strategic initiatives.

What You’ll Bring

Ideally qualifications in Business Administration, office management or a related field (desirable but not essential) A minimum Negative Vetting 1 (NV1) security clearance as required by the Commonwealth. Previous experience in a similar role, ideally within the Defence or professional services industries.
