Position Summary
The Executive Operations Assistant position is a role supporting primarily the President & General Manager and Director of Mountain Operations, working collaboratively with the resort leadership team maintaining the executive office, carrying out daily activities related to assigned administrative functions, keeping company and executive calendars, scheduling and coordinating meetings, including preparing and distributing documents, spreadsheets, correspondence and providing internal and external guest service.
Essential Functions/Major Responsibilities
Executive Support
Provide high-level administrative support while maintaining strict confidentiality and Professionalism.
Manage calendars, travel arrangements, and expense reconciliation with high attention to detail in all matters and communication.
Draft, edit, and distribute executive correspondence, presentations, and documentation for internal and external stakeholders.
Serve as a key liaison between executives, staff, departments, and contractors.
Coordinate and participate in leadership meetings, providing administrative support and follow-up.
Maintain organized document management systems and office inventory.
Provide courteous and timely communication to internal and external parties, maintaining the highest integrity in relationship management.
Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications (NSAA Journal, SAM) establishing personal networks; and participating in professional societies.
Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; and verifying receipt of supplies.
Ensures breakroom is clean and organized weekly.
Mountain Operations Support
Assist the Director of Operations in preparing and tracking business plans, budgets, and capital requests.
Provide administrative support for department managers, including reporting, recordkeeping, ordering of supplies, and expense tracking as needed.
Oversee compliance and audit tracking systems for year-round maintenance programs.
Support coordination between departments, contractors, and external organizations for project management.
Monitor and report on department work plans to the Director and President.
Assist in creating detailed project plans and roadmaps. Track project progress against plans, identify potential issues, and regularly communicate project status to relevant stakeholders.
Provide superior service to our guests and employees at all times. Follow resort hospitality standards while interacting with guests and respond to all guests in a courteous and efficient manner.

Education/Related Experience
Education: Bachelor's degree or equivalent experience plus 5 plus years related experience preferred.
Communication & Professional Capabilities: Ability to analyze and interpret business periodicals, technical procedures, and government regulations. Ability to write reports, business correspondence, and procedural manuals.
Technical: Proficiency in Microsoft Office: Excel, Outlook, Word, & Teams.
Additional: Ability to meet and work under strict deadlines.
