About the Team:

We are looking for an experienced and dynamic Executive Operations Manager to join our global team. Reporting to the SVP of Platform Engineering, you will have the responsibilities of an Executive Assistant with operational responsibilities, requiring a professional who is proactive, and able to manage a broad range of tasks across a span of over 200 employees globally. You will support the Medidata Platform leadership team, overseeing office operations, coordinating events, managing team communications, and ensuring alignment on the SVP's priorities across the global organization.

Responsibilities:

Executive Support

Provide high-level administrative support to the SVP, Platform; VP, Product; VP Engineering, including calendar management, meeting coordination, travel and speaking arrangements, and expenses. Manage confidential information. Prepare and edit agendas, presentations and other documents. Serve as a point of contact between executives and internal/external stakeholders. Coordinate and follow up on action items from meetings and ensure deadlines are met. Develop strategic approaches to support collaborative projects and engagements that form stronger relationships across R&D domains.

Office Management

Oversee the daily operations of the Platform organization, ensuring a productive and efficient working environment. Manage cost center budgets, including supplies, equipment, training and vendor relationships. Partner with IT, facilities, procurement, social media, and other departments to ensure smooth daily operations.

Communications Management

Assist with content development on behalf of the Platform leadership team, through the production and distribution of internal newsletters, ensuring timely and accurate communication of team news, updates, and achievements. Facilitate weekly leadership discussions and monthly All Hands sessions, curating the agenda with feedback from the leadership team. Collaborate with relevant stakeholders to gather content and design engaging newsletters. Establish joint planning sessions and regular updates with R&D and Corporate communications teams to ensure agreement on projects. This approach will keep all teams informed, prevent redundancy, and avoid overlapping efforts. Gather continuous organization sentiment through pulse surveys, and incentive programs.

Event Management

Plan, organize, and execute team events, including meetings, workshops, and regular team-building activities to maintain a culture of engagement. Coordinate logistics for offsite meetings and events, including artifacts organization, venue selection, catering, and transportation. Ensure events are delivered on time and within the cost center's budget.

Qualifications:

Minimum of 5+ years of experience in office management, executive assistance, or a related role.· Excellent organizational and multitasking skills with attention to detail. Proper handling of confidential information.· Exceptional communication skills. Experience in event planning and management.· Familiarity with internal communications platforms and tools.· Knowledge of budget management and financial reporting is ideal.

Base pay is one part of the Total Rewards that Medidata provides to compensate and recognize employees for their work.
