Our client, an architecture firm located in Nomad, Manhattan, is seeking a Temp to Perm Executive/Personal Assistant to support their Founding Principal. This role requires a resilient, adaptable and highly resourceful person capable of managing diverse tasks in a fast-paced environment with utmost confidentiality and discretion. The schedule will be 5 days/week in office from 9am to 6pm but requires a 24/7 mentality.

Responsibilities:

Sort and prioritize a high volume of incoming emails and respond or forward messages as necessary.Identify critical and time-sensitive emails and bring them to the principal's attention promptly via text or call.Draft and edit professional and effective email responses on behalf of the principal, maintaining her style and tone.Monitor and track email follow-up actions, ensuring that commitments are fulfilled, and deadlines are met.Outlook Calendar Management - Efficiently manage and prioritize the principal's schedule, meetings, appointments, and travel arrangements.Keep track of all Board commitments and maintain the calendar.Keep track of all appropriate industry events and maintain the calendar.Have a thorough understanding of worldwide time zone differences and the ability to convert and apply them accurately when coordinating global meetings.Arrange and allow travel time to get to and from meetings.Anticipate potential issues and coordinate with the principal to implement solutions to avoid disruptions.

Additional responsibilities:

Process, sort, and route incoming and outgoing personal mail from home and office.Serve as the principal point of contact for internal and external correspondences, maintaining professionalism and diplomacy in all interactions.Screen incoming calls, providing timely responses or forwarding as necessary.Draft, proofread, and edit documents, including memos, letters, and other correspondence.Handle confidential and sensitive information with the highest level of discretion.Reading the media emails received through the company website inquires.Conduct research and gather information on various topics as requested.Stay up on industry trends, news, and relevant information to provide valuable insights and support the principal.Track business expenditures to ensure proper billing - itemize, code, and upload.Track and log the principal's timesheets on a daily basis.Manage and prioritize principal personal incoming tasks and requests, ensuring timely completion and follow-up.

Qualifications:

Bachelor's degree in business, communications, or related field preferred.Proven experience as a Personal Assistant or similar role supporting a principal. Preferably in the architectural or design industry.Proficient in Microsoft Ofice: Outlook, Word, Excel, PowerPoint, Adobe Acrobat, and social media platforms.Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail.Excellent communication and interpersonal skills, and the ability to build relationships with diverse individuals.Proactive, independent, efficient, and easily motivated, willing to learn and advance skills as required.

Compensation:
