Functional Description: This position will provide administrative support to executive staff and Program Integrated Product Teams (IPTs) with office management responsibilities to include coordinating schedules and calendars, recording meeting minutes, preparing briefing packages, Navy correspondence, reports, and documentation.
• Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing internal correspondence, receiving visitors, assisting with internal visitor requests and security clearance packages, arranging conference calls and scheduling meetings.
• In addition to secretarial duties (filing, taking phone calls, scheduling appointments, making DTS travel arrangements).
Job Description: We are currently seeking an Executive Secretary/Executive Administrative Assistant Journeyman to support PMA-272 located at Patuxent River, MD.
A minimum of 2 to 5 of years of performing duties described in the functional description with at least one (1) year of experience in a customer and business-oriented position. Proficient in SharePoint and MS Office 365 Suite to include MS Teams is a requirement. Experience scheduling travel utilizing Defense Travel System (DTS) and scheduling visitors utilizing BASICs. Exceptional organizational skills, detail-oriented and strong ability to take initiative. Ability to mitigate conflict resolution Navy Correspondence experience Ability to facilitate and lead Executive Leadership Committee Teams meetings Ability to create and maintain positive relationships with multiple IPT teammates. Excellent written and verbal communication skills. Demonstrated experience/ability to interact effectively with executive level staff. Utilize Navy-ERPDesired Skills and Knowledge:
MS Office Suite (Word, Excel, PowerPoint, Outlook, etc.)Required Education: Journeyman - AA/AS degree.
Allowable Substitution:
Two (2) years additional work experience performing duties described in the functional description of the labor category may be substituted for an Associates’ Degree.Must be able to obtain and maintain a Secret security clearance.
