Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations._ **Responsibilities:** GENERAL PURPOSE: Performs complex administrative duties for Mt. Hope Family Center Director and supports MHFC programmatic and strategic initiatives. Directs and coordinates daily operations of MHFC director’s office including managing calendar, communicating with high-level stakeholders, facilitating travel, and more. Exudes a keen awareness of university processes and procedures with an innate ability to forecast, prioritize and triage. Serves as a resource to both MHFC Director and larger MHFC executive staff. Acts as liaison with internal and external groups, offices, and/or constituents. Often compiles data, statistics and other information and materials for meetings, presentations, etc. **ESSENTIAL FUNCTIONS** **Communication Management** + Act as a primary point of contact for internal and external communications (calls, emails, meetings). + Primary point of contact for calls related to services at MHFC; suggests resources in community as needed. + Draft, proofread, and send communications on behalf of MHFC Director. + Screen and prioritize incoming messages, responding or redirecting as appropriate. + Produce tailored communication materials for various stakeholders such as University leadership, external partners, and potential donors and funding agencies. **Calendar Management** + Manage and maintain MHFC Directors’ calendars, schedule meetings, appointments, and travel arrangements + Prioritize and resolve scheduling conflicts while ensuring smooth workflow. + Prepare agendas, take minutes, and follow up on action items from meetings. + Monitors, maintains, and updates the Clinical On-Call calendar schedule **Document and Information Management** + Prepare and edit reports, presentations, and correspondence. + Maintain and organize confidential files, documents, and records. + Ensure MHFC Director has the necessary information for meetings, decisions, and strategic planning including advancement and fundraising opportunities + Act as delegated approver on behalf of Director for designated matters **Project Support** + Collaborate with various stakeholders, both internal and external, regarding MHFC strategic initiatives and special projects. + Represent the Director at key meetings + Assist with project management by tracking deadlines, deliverables, and progress. + Coordinate with internal teams and external partners to ensure various MHFC projects are completed on time. + Submits and tracks manuscripts and publications. + Conduct research and compile data as required. **Travel Coordination** + Organize and manage all travel logistics including flight bookings, hotel reservations, and itineraries. + Generate and submit reimbursement requests related to travel on behalf of MHFC Director + Ensure executives are prepared with all necessary documents, tickets, and travel plans. + Office Administration + Support with office event planning, including team meetings, conferences, team professional development, and other functions. + Coordinates center-wide events; orchestrates catering, secures space, manages RSVPs, etc. + Handle day-to-day office administrative duties and problem-solving. **Confidentiality and Professionalism** + Handle sensitive and confidential information with discretion. + Maintain a high level of professionalism in all interactions with staff, clients, and vendors. **Other Duties as Assigned** + Assist MHFC staff and leadership with tasks as needed **QUALIFICATIONS** + Bachelor’s degree required. + 3 years related experience required. + Must be highly organized and very reliable. + Expertise with current software systems, including Adobe and Microsoft suites is required, and additional experience with database systems and/or statistics is preferred. + Must have experience with Microsoft Office Suite, Outlook, Word, Excel, Google Calendars, Zoom. **EOE Minorities / Females / Protected Veterans / Disabled:** The University of Rochester is committed to fostering, cultivating, and preserving a culture of equity, diversity, and inclusion to advance the University’s mission to Learn, Discover, Heal, Create – and Make the World Ever Better.
