Job Title: Executive Support Administrator
Job Description
As an Executive Support Administrator, you will provide daily administrative support including the arrangement of meeting schedules, obtaining signatures, and maintaining confidentiality. This position involves various administrative activities such as creating check requests, processing invoices, and submitting expense reports.
Responsibilities
+ Calendar Management: Coordinate meeting dates, times, and locations; send and check Outlook calendar invitations; set up and start video/teleconferences; serve as the main contact for members.
+ Travel Arrangement: Plan travel itineraries and travel requests (TRs), and manage miscellaneous travel arrangements.
+ Travel Expenses: Request reimbursements
+ Reimbursements: Submit check requests (CRs) for reimbursement expenses.
+ Daily Support: Assist members with daily needs.
+ Meeting Support: Reserve and manage conference rooms; organize team meetings; take and distribute meeting minutes.
+ Office Events and Team Events Support: Assist with team building activities and managing office environments (e.g., happy hours, holiday decorations/events, activities).
+ Office Supplies: Order, stock, and manage office supplies; submit CRs for office supplies.
+ Mail Services: Receive, sort, and send mail; submit CRs for FedEx account.
+ Receptionist Duties: Answer phones, greet visitors, order books/magazines.
+ Office Management: Clean and maintain coffee machines, multi-purpose room, and other common areas including eco-zone and kitchen area.
Skills & Qualifications
+ Excellent communication skills both written and verbal
+ Professionalism
+ Organization skills
+ A minimum of two years experience as an Administrative Assistant or equivalent secretarial expertise
+ Experience with travel planning, scheduling meetings, and expense reporting
+ Preferred: 2+ years of executive admin support experience
+ Comfortable working with multiple levels, from freshman engineers to senior management
+ Excellent analytic and problem-solving capabilities
+ Detail-oriented nature
+ Drive for constant operational improvement
Pay and Benefits
The pay range for this position is $21.00 - $25.00/hr.
