Executive Team Assistant

An exciting opportunity has arisen for an experienced Executive Team Assistant to join Downer Group and support three Executives within the Chief Financial Office. and guiding their wider teams. Based in North Ryde, this is a full-time position for someone who is self-motivated, driven, and thrives in a fast-paced environment. 

Role and Responsibilities 

Provides administrative support to Executive General Managers (EGMs), handling high volume of competing requests requiring professional discernment on appropriate urgency/prioritisation to complete.  Provide calendar support for EGMs with effective communication across various stakeholders.  Prepare and format documents, presentations, and reports as required by EGMs, ensuring accuracy and professionalism.  Attend, arrange, and administer leadership team meetings, including preparing agendas, compiling papers, and documenting minutes.   Support the organisation of EGM lead team offsites and other events, including ordering catering and managing logistics.  Nurture a dynamic and collaborative culture.  Manage purchase orders, invoices, and expenses, including raising and receipting purchase orders, processing invoices and expense claims, and maintaining credit card procedures.  Assist in the preparation and submission of board and executive leadership team papers on behalf of EGMs.  Coordinate travel arrangements for EGMs, including booking flights and accommodation.

Enthusiastic, energetic team player who prides themselves on being well organised, planned with attention to detail.  Flexibility to take on a wide range of responsibilities to support assigned management/ functional areas  Ability to establish workflow and project priority based on assessment of strategic expectations and consideration of interdepartmental needs.  Aptitude for working in collaborative team environments with a focus on maturity, proactive communication, relationship building skills and resiliency.  Curiosity and proactive learning mindset to support continuous growth both personally and for the business.  A “Self-starter” with a growth mindset that takes initiative to continuously improve processes for ongoing effectiveness of the department and company as a whole.  Ability to manage multiple, concurrent tasks and/or projects with the highest levels of professionalism, confidentiality, timely turn-around and client service.  Solutions-oriented approach to functional/company challenges with the ability to identify/analyse scope of challenge, determine approach, compile data and prepare reports and positive-change recommendations.  Strong communication skills, verbal and written.
