Executive Travel Coordinator

Job Summary:

The Executive Travel Coordinator is responsible for managing Masimo’s travel services provided for executives, employees, and other stakeholders.    This position will administer, manage and monitor travel activities to ensure professional, accurate and cost-effective travel arrangements within Masimo’s travel guidelines and policies.    The incumbent needs to be an individual with an exceptional commitment to customer service, accuracy and self-reliance. 

Duties & Responsibilities:

The Executive Travel Coordinator is responsible for handling all duties required to making travel arrangements for Executives, VIP’s, Distinguished visitors.  Travel arrangements to include planning and executing of air, charter, FBO, hotel and ground transportation to CEO office, Board of Directors, Executive C Suite, and VIP guests  This position will facilitate professional, accurate and cost-effective travel arrangements within Masimo’s travel guidelines and policies. The incumbent needs to be an individual with an exceptional commitment to customer service, accuracy, and self-reliance Provide After-hours travel assistance as needed. Company cell phone and lap top assigned   General Travel Box assistance of all Masimo employees travel needs Manage unused ticket log weekly Research and resolve traveler inquiries (complaints, accounting issues, lost baggage, fare discrepancies, vendor issues, hotel no-shows, bumping from flights, airline mileage, upgrade problems, etc.) Manage compliance with Company travel and expense policy and report out-of-policy requests to ensure compliance Build solid rapport with Masimo employees by providing prompt, courteous, and friendly service Research travel options (lowest logistical airfares, times, routings, etc.) and available inventory, suggest alternative dates/services and present applicable information for appropriate management approval in compliance with Masimo’s travel policy Communicate international travel requirements such as: visa/passport requirements, Department of Justice traveler alerts, medical requirements, embassy locations, international flight services, and destination information (i.e. time zones, rail service, and currency/exchange rates and services) Administer airline, hotel, and car rental rewards programs to ensure that benefits provided by suppliers are allocated and/or use appropriately Maintain low inventory of unused tickets Coordinate with appropriate departments to make travel arrangements for large company-sponsored functions, such as trade shows and other corporate events that require group travel Maintain appropriate files, databases, and travel related information.  Evaluate overall travel program and make recommendations to improve efficiencies and cost effectiveness Educate employees on reducing travel expenses, as required Perform other duties or special projects as assigned  

Minimum & Preferred Qualifications and Experience: 

Minimum Qualifications:

Seven or more years related experience working in a fast-paced corporate travel or travel agency environment, making domestic and international travel arrangements Knowledge of ARC (Airline Reporting Corporation) policies/requirements in order to follow refund, void, EVT (Electronic Travel Voucher) and exchange procedures Thorough understanding of Interline Agreements (formal agreements between airlines that govern ticket reimbursement, baggage transfers, etc.) Knowledge of IATA (International Air Transport Association) code assignments, international tariff rules, international carriers, code shares, and international split ticketing  Online booking tool experience with Concur                        Demonstrated success in driving process improvements and reducing travel expenses Ability to coordinate and prioritize multiple travel requests concurrently and process a large quantity of transactions per month Excellent communication, time management, interpersonal, problem solving and organizational skills Ability to work with a variety of levels of management and employees.    Must be results oriented with a positive "can do" attitude and a sense of urgency to get things done. A self-starter who enjoys a challenge and is dedicated to getting the job done, with minimal support and direction Must have experience in supporting VIPs and other group travel Work closely with Director of Travel Department 

Preferred Qualifications:

Minimum seven years of experience working high volume corporate travel, with experience managing staff Experience managing teams and projects, and communicating with C-suite executives Hands on experience with Sabre and Concur system Certified Travel Consultant is desirable

Education:

High School diploma or GED is required.  Some Travel School coursework is preferred. 

Compensation

The anticipated Hourly Rate range for this position is $33-43 Per Hour plus benefits.  Actual placement within the range is dependent on multiple factors, including but not limited to skills, education, and experience.

Physical requirements/Work Environment 

This position primarily works in an office environment. It requires frequent sitting, standing and walking.  Daily use of a computer and other computing and digital devices is required.  May stand for extended periods when facilitating meetings or walking in the facilities.  Some local travel is necessary, so the ability to operate a motor vehicle and maintain a valid Driver’s license is required.
