Exhibitor Services Coordinator

ESSENTIAL DUTIES AND RESPONSIBILITIES

Submit quotes to clients created by the delivery teams for related services for exhibitors of assigned events as requested.Provides support to all clients ordering services via phone and/or email assisting with the ordering process or addressing questions/concerns. Responding within 24 – 48 hours.Processes advanced and/or on-site exhibitor orders for all services supplied by the department.Set up and maintains assigned event files.Marks up master floor plan noting individual booth service requirements.Compares master floor plan with individual exhibitor floor plan for accuracy in booth size and booth orientation.  Prepare work orders, as necessary, and distributes to technical personnel at least 10 days prior to event move-in.Acts as a liaison between exhibitors, EAC’s, Show Contractor and technical personnelProactively contacts clients for pre-event information relating to service orders, labor orders floor plans and/or payment.Maintains the Service Desk during event move-in and show hours handling exhibitor and/or EAC’s inquiries and service needs with appropriate follow through.Review completed work orders and enter additional charges against orders as necessaryWork with Finance and Department manager to resolve any billing discrepancies and disputes with assigned eventsUpload exhibitor order forms for assigned events, ensuring forms have current pricing and Advanced Rate Deadline.Other responsibilities as assigned by Director of Production Services

EDUCATION AND EXPERIENCE

·High School Diploma, College degree a plus.

KNOWLEDGE, SKILLS AND ABILITIESExcellent communication, interpersonal skills, organizational ability and the ability to multitaskStrong orientation towards customer service for the meeting, convention and entertainment industryAbility to work flexible hours, including nights, weekends, and holidays in addition to normal business hour as neededMust have professional attitude and appearance

COMPUTER KNOWLEDGE

To perform this job successfully, an individual should have working knowledge of event booking and scheduling software and be proficient in Microsoft Word, Excel, and PowerPoint.

Specific vision abilities required by this job include close vision to handle contracts, other office correspondence, etc.
