Facilities Administration Coordinator

The **Facilities Administration Coordinator** assists the Facilities department in administrative support, service contract administration, corporate program management, office equipment lease management, procurement, and invoice processing while ensuring that the required corporate standards and policies are met. This role is in office 5 days a week, Monday - Friday. **How You'll Shine:** + Process invoices for utility bills for multiple corporate locations, invoices for vendor work from cleaning to special projects and invoices for maintenance based on contractual work. + Invoice reconciliation to ensure accuracy with the vendor, communicate and resolve issues related to payment or project completion. + Perform accounts payable coding and budget reconciliations. + Responsible for monthly accruals report which includes P-card consolidation and review, ensuring any invoices that are billed in arrears, late or not yet billed are forecasted and accounted/accrued for in the current month. + Support reception when needed and serve as the backup on days when receptionist does not work. + Support the rest of facilities team in management of Facilities Management Systems and closing of tickets, support on room coordination, meeting set up, etc. + Other duties as assigned. **What You'll Bring:** + Associate's degree preferred, High School Diploma required. + Intermediate with MS Outlook, Excel, and Word + Excellent organizational skills. Ability to effectively prioritize and multitask. + Proficient skill level in MS Outlook, Word and Excel + High level of quality customer service skills + Ability to work successfully in a diverse population + Able to adapt and learn quickly. Team player. + Ability to interface with internal and external customers over the phone or in person + Keen attention to detail + Creative problem-solving abilities + Contract knowledge preferred. + Invoicing/bookkeeping or similar accounting related environment preferred + Two (2) years’ experience providing customer service and support in a corporate environment _Experience equivalent to the education requirement may be accepted in lieu of the education requirement._ **How You'll Be Rewarded:** We offer a diverse range of comprehensive health and welfare benefits to associates who work 30 or more hours per week to meet your needs and support you throughout your career with us.
