Responsibilities:
Front Desk Management
Ensure timely handling of all front desk activities, including mail management, phone answering, and visitor registration.
Maintain meeting room facilities in optimal condition and ensure rooms are tidy after each use.
Perform local dispatch duties (e.g., visiting banks, accountants, authorities) as needed.
Provide general front desk support, such as booking rides and making restaurant reservations.
Office Management
Ensure the office is well-maintained at all times.
Collaborate with cleaners to keep the office clean and tidy.
Work with building management, vendors, and other departments to resolve maintenance, facility, and service issues promptly.
Assist with office maintenance projects, renovations, and relocations as needed.
Manage the purchase of stationery, refreshments, and pantry cleaning items, ensuring sufficient supplies at all times.
Maintain and keep an inventory of company assets.
Administrative Tasks
Assist the Regional Manager in implementing office procedures according to HQ policies. Proactively review and suggest improvements to current procedures.
Administer billings and invoices for payment, ensuring timely submission to the Finance Division.
Manage service contract agreements and tenancy agreements, including new, renewal, and termination processes.
Assist the Regional Manager in managing the company’s general property insurance, including yearly reviews, claim submissions, and related activities.
Liaise with local government authorities to obtain and renew documentation, licenses, and permits related to office operations.
Track budget expenditures and participate in the yearly budget exercise.
Maintain and update departmental records and tracking systems; prepare various reports and presentations.
Schedule and plan meetings and appointments as required.
Travel Desk Management
Assist the Travel team with travel bookings and local travel-related matters as needed.
Assist with the application and renewal of visas for employees.
Business Support
Support senior managers and executives with daily clerical tasks.
Process various claims for employees.
Support the Finance department with local tax documentation and invoice issuance.
Support the Human Resources department in coordinating in-house and external events, such as team-building activities, office events, medical insurance renewals, and employee medical checkups.
Support the Marketing department with marketing events and activities.
Assist the Purchasing department in sourcing local vendors and negotiating prices.
Support the IT department in managing IT assets.
Perform other duties as assigned.
Qualifications:
2+ years of previous experience in an Office Admin, Office Manager role, or a related field.
A team-oriented individual who can collaborate with various team members and departments within an international setting.
Highly organized with meticulous attention to detail.
Proficient in time management.
Fluent in English, with strong verbal and written skills.
